Virtual Assistant for Lead Follow-Up, Appointment Booking & Admin Support We are a growing multi-location beauty and wellness business looking for a reliable, organized, and proactive Virtual Assistant to support our lead follow-up and booking process. This role is not just basic admin. You will help make sure new leads are contacted quickly, follow-ups are completed, appointments are booked, and our team has clean, accurate information in our CRM. **Main Responsibilities** * Respond to new leads quickly through SMS, email, phone, and social media messages. * Follow up with leads who have not booked or replied. * Help leads choose the right consultation or treatment option. * Book consultations and appointments using our scheduling systems. * Update lead records, notes, statuses, and pipeline stages in our CRM. * Confirm appointments and help reduce no-shows. * Follow up with missed consultations, missed appointments, and people who did not purchase. * Monitor incoming messages from website chat, Facebook, Instagram, SMS, and email. * Escalate customer concerns, refunds, complaints, or sensitive issues to management. * Help with occasional admin tasks, reporting, spreadsheets, and list cleanup. **What We Are Looking For** * Excellent written and spoken English. Clear, friendly, professional communication is essential. * Experience with customer service, appointment setting, sales follow-up, or lead generation. * Comfortable making outbound calls and sending follow-up messages. * Highly organized and able to manage many conversations at once. * Comfortable learning software quickly. * Experience with GoHighLevel, HubSpot, Mindbody, Calendly, Meta leads, or similar systems is a strong advantage. * Reliable internet, quiet workspace, and availability during Eastern Time business hours. * Someone warm and empathetic with clients, but also confident about following up and helping people book. **Important** We are looking for someone who takes ownership. You should not wait to be told every next step. You should notice leads that need attention, keep notes organized, and flag issues before they become problems. This is initially a part-time role, approximately 15–25 hours per week, with the potential to grow based on performance. **To Apply, Please Include** 1.
