Virtual Assistant

We are looking for a highly organized, tech-savvy virtual assistant to support a growing service-based business. You will manage client communications, invoicing, follow-ups, weekly updates, and internal organization — with the help of AI tools like Claude and ChatGPT that are already set up and ready to use. This is a remote, part-time role with strong potential to grow into a full-time position. ✓ Prepare and send client agendas before meetings ✓ Submit invoices to clients after services are rendered ✓ Send weekly status updates to each active client ✓ Follow up with clients on outstanding items or pending approvals ✓ Triage email inbox — flag priority emails, draft replies, delete junk ✓ Maintain and organize Google Drive (separating business from personal) ✓ Use Claude AI to draft communications, reports, and documents ✓ Keep an updated priority list of what needs attention each day Must Have: • Fluent written English with a professional tone • Hands-on experience with Claude, ChatGPT, or similar AI tools • Proficient in Google Workspace — Gmail, Drive, Docs, Sheets • Extremely detail-oriented, organized, and proactive • Reliable internet connection and consistent availability • Self-starter who works independently with minimal oversight Nice to Have: • Experience with invoicing or basic bookkeeping • Familiarity with project management tools (Notion, Asana, Trello) • Prior experience supporting a business owner or executive To be considered, your application must include the following: 1. A short voice memo or video (under 2 minutes) introducing yourself and describing how you use AI tools like Claude or ChatGPT in your work. 2. A brief written summary (3–5 sentences) of the most complex administrative task you have managed and how you handled it. Applications submitted without a voice memo or video will not be reviewed. We want to hear from people who are genuinely excited about using AI to work smarter — not just checking a box.
