Summary

Overview: Seeking a highly organized, proactive, and tech-savvy Virtual Assistant to support day-to-day personal and business operations. The ideal candidate is detail-oriented, reliable, and comfortable handling a wide range of administrative, financial, and operational tasks across multiple countries and time zones. Ideally speaks English, Spanish, and Portuguese. Key Responsibilities: - Manage daily tasks, calendar scheduling, and reminders across personal and professional activities. - Oversee Airbnb operations, including booking management, guest communication, check-in coordination, and online guest registrations where required. - Handle travel planning, including flights, accommodations, and itineraries. - Assist with personal and property-related accounting, expense tracking, and financial organisation. - Execute bill payments and ensure timely handling of recurring expenses across different platforms and currencies. - Conduct research on a variety of topics (real estate, travel, services, legal requirements, etc.) and present clear summaries. - Organise digital files, documents, and workflows for efficiency and easy access. - Coordinate with external providers (cleaners, property managers, contractors, etc.) when needed. Requirements: - Proven experience as a Virtual Assistant or in a similar administrative role. - Strong organisational and time management skills. - Excellent written and spoken English (Spanish and Portuguese are a plus). - Comfortable with digital tools (Google Workspace, spreadsheets, booking platforms, payment apps, etc.). - High level of discretion and trustworthiness. - Ability to work independently and anticipate needs. - Experience with Airbnb or short-term rental platforms is highly preferred. - Basic financial literacy (expense tracking, invoices, payments). Preferred Qualifications: - Experience working with international clients or across multiple time zones. - Familiarity with property management and short-term rentals. - Knowledge of basic bookkeeping tools or processes. Working Style: - Remote position with flexible hours (availability for quick responses is important). - Combination of structured recurring tasks and ad hoc requests.
