# Virtual Bookkeeper (Remote) – Manage Books for 5 Companies We are looking for a detail-oriented Virtual Bookkeeper to manage the day-to-day bookkeeping for five small businesses. This is a long-term position for someone who enjoys keeping financial records accurate, organized, and current. ## About Us We own and operate multiple businesses in the professional services, insurance, retirement plan administration, and e-commerce industries. Our goal is to maintain accurate financial records throughout the month so that month-end close is fast, clean, and reliable. ## Responsibilities * Manage bookkeeping for five separate companies in QuickBooks Online. * Download, import, and reconcile bank and credit card transactions. * Categorize transactions accurately according to each company's chart of accounts. * Record deposits, customer payments, and vendor bills. * Process intercompany Due To/Due From transactions and maintain balancing schedules. * Reconcile bank accounts, credit cards, loans, and liability accounts monthly. * Review uncategorized transactions and resolve discrepancies. * Maintain fixed asset and loan schedules when needed. * Organize and attach supporting documentation to transactions. * Prepare monthly financial statements, including: * Profit & Loss * Balance Sheet * Statement of Cash Flows (when applicable) * Identify unusual transactions and report questions promptly. * Work with our CPA at year-end by providing organized financial records. * Follow documented bookkeeping procedures and continuously improve workflows. * Use AI and automation tools where appropriate to improve efficiency. ## Software Experience Required * QuickBooks Online (required) * Microsoft Excel or Google Sheets (advanced) * Bank reconciliations * PDF bank statement imports * AI bookkeeping tools (preferred but not required) * Dropbox or Google Drive * Slack for communication * Trello or similar task management software ## Qualifications * Minimum 3 years of bookkeeping experience. * Experience managing multiple companies simultaneously. * Strong understanding of: * Balance Sheets * Profit & Loss statements * Journal entries * Accrual accounting * Intercompany accounting * Bank reconciliations * Excellent attention to detail. * Strong written and verbal English communication skills. * Ability to work independently and meet deadlines. * Comfortable learning new systems and AI tools. ## Weekly Responsibilities * Reconcile all bank and credit card accounts. * Review and categorize new transactions. * Respond to bookkeeping questions. * Maintain intercompany balances. * Provide a weekly bookkeeping status update. ## Monthly Deliverables By the 10th of each month, provide for each company: * Reconciled bank accounts * Reconciled credit card accounts * Profit & Loss Statement * Balance Sheet * Outstanding Accounts Receivable report * Outstanding Accounts Payable report * List of transactions requiring owner review * Intercompany reconciliation report ## Performance Expectations Success in this role means: * Books are current throughout the month. * Financial statements are accurate and delivered on time. * Bank reconciliations are completed with no unexplained differences. * Intercompany balances reconcile correctly. * Issues are identified proactively instead of waiting until month-end. * Continuous improvement through automation and AI. ## Compensation Please include: 1.
