Virtual Communications Execution Assistant (Employee Benefits Firm)

Sage Benefits is a boutique employee benefits advisory firm. After 20+ years in the industry, we have plenty of content and insurer materials—what we need is a reliable assistant to ensure communications actually get built, scheduled, and sent on time. What You’ll Do Take pre-written or insurer-provided content and turn it into formatted, ready-to-send emails and documents (newsletters, client updates, open enrollment messages). Set up and schedule campaigns in our email platform (e.g., Constant Contact or similar). Maintain a simple communications calendar and checklist so deadlines are visible and met. Track recurring tasks (monthly newsletters, renewal reminders) and proactively follow up with me when you need inputs. Organize and update our library of communication templates for reuse. What I’ll Provide Most of the core content (insurer materials, my draft language, and overall direction). Clear priorities around which clients or campaigns matter most. Feedback and final approval on outgoing communications. Ideal Candidate Strong organizational and follow-through skills; comfortable “owning the process” and keeping me on track. Experience as a virtual assistant or project coordinator, ideally with email marketing or client communications. Solid written English for light editing and formatting (no need to be a full-time copywriter). Tech-comfortable with email tools, shared drives, and spreadsheets. Reliable, responsive, and interested in a long-term, recurring engagement. Engagement Details Ongoing part-time role: approximately up to 10 hours per month, with some seasonal variation around open enrollment. Longer-term relationship preferred rather than a one-off project. Please include in your proposal: A brief overview of your experience executing recurring communications or marketing tasks. Examples of campaigns, newsletters, or client emails you’ve helped build or manage. Your hourly rate and typical availability (including time zone).
