About Us: Southwest Cancer Care is a growing oncology practice committed to delivering high-quality, compassionate cancer care. We are seeking a reliable and detail-oriented Virtual Medical Assistant with experience in medical scheduling, chart preparation (chart scrubbing), and patient coordination to support our clinical team remotely. Key Responsibilities: Chart Preparation & Medical Records Management Review upcoming patient appointments and ensure all required documentation is complete Perform chart scrubbing: verify labs, imaging, hospital records, and provider notes are available Obtain missing records through EMR/EHR systems, medical portals, and outbound calls Ensure charts are fully prepared at least 48 hours prior to appointments Medical Scheduling & Patient Coordination Schedule, reschedule, and manage patient appointments Monitor scheduling gaps and waitlists to optimize provider schedules Coordinate appointment changes and communicate updates with patients and providers Manage follow-ups and ensure continuity of care Provider & Administrative Support Support providers with order entry (labs, imaging, treatments) Communicate effectively with clinical staff via Microsoft Teams, email, and meetings Assist with additional administrative and provider-specific tasks as needed Required Qualifications: Proven experience as a Virtual Medical Assistant, Medical Scheduler, or similar role Strong experience with chart preparation/chart scrubbing and medical records retrieval Familiarity with EHR/EMR systems (e.g., eClinicalWorks, Athenahealth, Epic, etc.) Excellent attention to detail and ability to manage multiple tasks efficiently Strong communication skills (phone, email, and team collaboration tools) Comfortable making outbound calls to hospitals, imaging centers, and clinics Proficiency with Microsoft Teams, Outlook, and scheduling platforms Solid understanding of medical terminology and care coordination Prior remote healthcare experience required This is Full-time role from 8am to 5 pm AZ time Preferred: Oncology experience or experience in a specialty practice Why Join Us?
