Summary

**Job Title:** Virtual Operations Assistant – Procurement, Excel, AI & Marketing Support **Job Description:** We are looking for a smart, fast, reliable, and experienced Virtual Operations Assistant to support our daily business tasks. This is a full-time position, 8 hours per day, Monday to Friday. The assistant must be available during U.S. Eastern Time from 9:00 AM to 5:00 PM and must stay in regular communication during working hours. The ideal candidate must have fluent English, strong attention to detail, good communication skills, and the ability to learn quickly and handle different types of tasks. **Main Responsibilities:** * Create short video clips for LinkedIn, email marketing, and business promotion * Prepare product brochures, flyers, and marketing materials * Work with Excel sheets, including data entry, formatting, organizing product/pricing information, and daily spreadsheet tasks * Download government or business solicitations/RFQs/RFPs * Review solicitation documents and summarize important requirements * Contact suppliers by email to request pricing, availability, lead time, and product information * Call suppliers to follow up and collect missing information * Use ChatGPT or other AI tools to help complete business tasks faster and more accurately * Prepare email drafts, supplier follow-up messages, and basic business documents * Support any other similar administrative, procurement, marketing, or operations-related tasks **Required Skills:** * Fluent written and spoken English * Strong Excel skills * Experience with supplier communication and follow-up * Ability to make professional phone calls * Experience with Canva, video editing tools, or similar design tools * Comfortable using ChatGPT and AI tools * Fast learner with strong problem-solving skills * Very organized and detail-oriented * Able to work independently with minimal supervision * Reliable internet connection and availability during U.S. Eastern Time business hours **Preferred Experience:** * Experience working as a virtual assistant, executive assistant, procurement assistant, sourcing assistant, or operations assistant * Experience with RFQs, solicitations, supplier quotes, or bid support * Experience preparing brochures, product sheets, LinkedIn posts, and email marketing materials * Experience working with product data, pricing sheets, and supplier databases **Work Schedule:** * Full-time * 8 hours per day * Monday to Friday * 9:00 AM to 5:00 PM U.S. Eastern Time **Important Requirements:** Please apply only if you are available during U.S. Eastern Time business hours, have fluent English, are comfortable calling suppliers, and can handle different types of tasks quickly and accurately.
