Virtual Operations Assistant for Property Management SaaS

Summary

We are a growing property management SaaS company looking for a reliable, organized Virtual Operations Assistant to help manage customer communication, maintenance request workflows, hiring support, team coordination, and daily operational follow-up. Our software helps property managers maintain their properties and set up systems to manage property maintenance more efficiently. This role will start part-time at approximately 10 hours per week, with the potential to become a long-term opportunity. The ideal person is highly organized, proactive, detail-oriented, strong in written English, calm when communicating with customers or tenants, and comfortable learning new software. Responsibilities Monitor and help manage maintenance requests inside our in-house software Categorize maintenance requests and collect missing details, photos, or information Communicate primarily by email with tenants, property managers, SaaS customers, and internal team members Help with SaaS customer support related to maintenance requests Assist with customer onboarding and follow-up Track open jobs, requests, and operational tasks Monitor Stripe billing issues and report failed or overdue payments Help manage the hiring pipeline for UI testing and web outreach roles Track task status across the team Remind team members about open items and deadlines Collect updates and organize Slack communication Prepare daily or weekly summaries by email, including: Completed tasks Open issues Customer or tenant escalations Billing follow-ups Hiring pipeline updates Questions/blockers Priorities for the next day Tools You’ll Use: Gmail Google Calendar Slack Stripe In-house property management software Requirements: Experience with SaaS customer support Experience with hiring, recruiting support, or applicant coordination Strong written English communication Highly organized and detail-oriented Comfortable following clear instructions and giving regular updates Able to learn new software quickly Reliable follow-through on assigned tasks Available for at least 2 hours per day during the 9 AM-5 PM Eastern Time window Nice to Have: Property management experience Experience handling maintenance requests Experience working with tenants, property managers, or contractors Experience with SBIR or government-funded programs Experience supporting a startup or small fast-moving team Role Details Contractor position Starting at approximately 10 hours per week more can be negotiated.
