Job Description: I'm a fractional CFO and business strategist running a consulting firm with multiple active client engagements across construction, transportation, non-profit, and emerging technology sectors. I'm looking for a sharp, reliable virtual personal assistant to help me reclaim time by handling the operational and administrative layer of my work. This is not a high-volume data entry role. It requires someone who is professional, discreet, communicative, and capable of learning my systems and voice over time. If you stay with me long enough, I'll teach you some of what I do — and this role can grow. What You'll Be Doing: - Monitoring and managing email inboxes (Google/Gmail); flagging, sorting, drafting responses on my behalf - Calendar management in Google Calendar — scheduling, rescheduling, and coordination with contacts - Light client-facing communication — written, on my behalf, in a professional tone that matches my voice - CRM data entry and pipeline updates in Zoho CRM or similar - Research tasks — market, vendor, competitor, contact lookups - Document formatting and light admin tasks, including occasional Excel work using my templates and existing processes - Coordination with my wife, who assists me a few hours per week — occasional task handoffs and collaboration You Must Have: - Professional-level written and spoken English — this is non-negotiable - Experience supporting an executive, consultant, or small business owner in a virtual capacity - Proficiency with Google Workspace (Gmail, Calendar, Drive) - Familiarity with Zoho CRM or a comparable CRM platform - A high standard of confidentiality — you will be exposed to client names, financial context, and business strategy - Strong organizational instincts and the ability to work proactively with minimal hand-holding - Availability during US Eastern business hours (overlap required, not necessarily full-time) Nice to Have: - Experience supporting a fractional CFO, consultant, or professional services firm - Basic Excel skills (formatting, working within templates — not advanced modeling) - Experience with Slack or similar async communication tools - Willingness to leverage LLM AI Logistics: - Hours: 5–10 per week to start, with potential to grow - Rate: $7–$25/hour depending on experience and demonstrated fit - Location: US-based preferred; open to international candidates with excellent English and reliable Eastern hours overlap - Engagement type: Ongoing To Apply, Please Include: - A brief description of the most similar role you've held and what you managed for that client - One example of a situation where you exercised discretion or judgment on behalf of an executive - Your availability and time zone - Any tools from the list above you use regularly
