Virtual Phone Agent — Inbound Support & Warm Lead Follow-Up (US Business Hours)

About us We're a specialist print and design company focused on interior theming in the global family entertainment and attractions industry, serving venues like laser tag arenas, bowling alleys, trampoline parks, and similar attractions, with a growing US client base. We need a reliable, professional virtual agent to be the voice of our business on inbound calls and to follow up with leads who've already engaged with us — trade show contacts, website inquiries, and existing clients — never cold calling. What you'll do Answer inbound calls during US business hours, professionally represent the brand, and route or resolve inquiries Follow up by phone on warm leads (past trade show contacts, website form submissions, quote requests) to qualify interest, gather project details, and book calls with our sales team Log every interaction cleanly in HubSpot with concise notes and clear next steps Coordinate calendar/appointment setting between clients and our team across time zones Send short follow-up emails and WhatsApp messages after calls when needed (templates provided) Occasionally handle re-engagement calls with existing clients we haven't spoken to in a while Schedule Minimum 10 hours/week to start, with room to expand based on suitability 1 hour/day of outbound calls on warm leads (no cold calling) 1 hour/day of on-call availability for inbound, flexibly scheduled within 10am–4pm EST Additional hours may be added for CRM work, follow-ups, and appointment coordination Must-haves Clear, confident, neutral-to-American spoken English — friendly and professional on the phone Proven experience in inbound customer service and/or warm outbound / lead nurturing (please don't apply if your background is purely cold calling — this role is different) Comfortable talking to business owners and operations managers (B2B, not consumer) Reliable availability within the 10am–4pm EST window, Monday–Friday Hands-on HubSpot experience (contacts, deals, pipelines, logging activities, sequences) Solid CRM hygiene and note-taking discipline Familiarity with VoIP / softphone tools Comfortable using Whatsapp for internal communication Reliable high-speed internet, quiet workspace, professional headset Nice-to-haves Experience in B2B sales support, appointment setting, or account management Background in hospitality, entertainment, events, or any industry that sells to venues Spanish fluency (bonus — we have a growing Latin America pipeline) Experience working with international teams across time zones Start: ASAP Rate: "Please quote hourly rate" To apply, please include: A short (60–90 second) voice recording — introduce yourself and briefly summarize your experience, suitability for the role.
