AI Workflow Engineer

We are seeking an experienced AI Workflow Engineer to redesign and automate our end-to-end Accounts Payable (AP) process within NetSuite. This is a high-impact project where you will architect, build, and deploy AI-powered workflows that eliminate manual effort, improve financial controls, reduce fraud risk, and streamline AP operations. This is a greenfield initiative, offering significant ownership and the opportunity to create scalable automation solutions across invoice processing, vendor management, payment workflows, reporting, and compliance. ### Key Responsibilities #### Invoice Capture * Build AI-powered invoice extraction workflows to automatically create NetSuite bill records from inbound invoices. * Eliminate manual data entry through OCR and intelligent document processing. #### Fraud Prevention * Detect changes to vendor bank details across invoice submissions. * Trigger mandatory review and approval workflows for suspicious modifications. #### GL Coding Automation * Train and implement classification models using historical transaction data. * Automatically suggest and validate GL codes, including multi-GL vendor scenarios. #### Purchase Order Matching * Develop fuzzy matching logic to automatically match invoices with open purchase orders. * Route exceptions through approval workflows. #### Purchase Order Validation * Implement real-time validation during PO creation. * Surface field-level errors before records are committed to NetSuite. #### Duplicate Invoice Detection * Prevent duplicate payments using intelligent matching across vendor, amount, date, and invoice references. #### Vendor Master Management * Automate vendor onboarding, updates, and validations. * Maintain complete audit trails and compliance records. #### Expense Validation * Create automated approval workflows for low-risk expenses. * Reserve AP team intervention for exceptions and policy breaches. #### Payment Run Automation * Generate EFT payment files automatically from NetSuite. * Implement anomaly detection and approval workflows before payment release. #### Reporting & Controls * Build dashboards, exception reporting, and scheduled alerts for AP control violations. * Provide visibility into workflow performance and compliance metrics. #### Credit Note Processing * Automate credit note capture, matching, and application against original bills. #### Expense Policy Compliance * Apply configurable business rules to validate expenses. * Automatically approve, flag, block, or escalate submissions. ### Required Qualifications * 3+ years of experience building workflow automation or ERP integrations. * Strong hands-on experience with NetSuite (SuiteScript, Workflows, REST APIs). * Experience implementing AI/LLM-powered workflows using OpenAI, Claude, or similar platforms. * Expertise in OCR, document processing, PDF parsing, and structured data extraction. * Experience with automation platforms such as n8n, Make, Zapier, or custom workflow frameworks. * Strong understanding of fuzzy matching, deduplication, and entity resolution techniques. * Ability to independently translate business and finance requirements into technical solutions. * Familiarity with AP controls, three-way matching, audit trails, and segregation of duties. ### Preferred Technical Stack **ERP & Integration** * NetSuite (SuiteScript, REST API) * n8n, Make, or custom workflow orchestration * REST APIs and webhook integrations **AI & Machine Learning** * OpenAI, Claude, or equivalent LLM APIs * OCR and Document AI solutions * Classification models and intelligent matching systems **Development** * Python and/or Node.js * SQL for reporting and validation * Git and version control **Finance & Compliance** * Accounts Payable controls * EFT/payment file generation * Expense policy and compliance frameworks ### Nice-to-Have Qualifications * NetSuite SuiteCloud Certification * Prompt Engineering experience * RAG and Vector Search implementations * Experience with AP automation platforms such as Tipalti or Basware * Finance or accounting background * Fraud detection and financial risk systems experience ### To Apply Please include: 1.
