Yardi Expert: Full Work Order Data Export Instructions (All Versions)

We need a Yardi expert to help us create a clear, practical instruction guide for property managers explaining how to export complete work order history from Yardi. This is not just for one property. We need someone who understands the different Yardi areas/modules well enough to explain where a manager or administrator should look depending on their setup. The issue we are trying to solve is this: A site manager stated: “There is no way of me pulling a report with a full description.” We need to verify whether that is true, or whether the export requires a different report, permission level, module, custom report, or administrator access. Goal: Create a written guide that explains how to export all work orders from the past two years to present, including full descriptions and all comments/notes, from different possible Yardi setups. The guide should cover, as applicable: Yardi Voyager Voyager Residential / Multifamily Voyager Commercial Maintenance / Work Orders Service Requests Facility Manager Maintenance IQ Maintenance Mobile data synced back to Voyager RENTCafé resident service requests, if applicable Report Runner Custom Reports Yardi Spreadsheet Reporting / YSR, if applicable Data Connect / database / reporting export options, if applicable Any other Yardi area where full work order descriptions, notes, comments, or history may be exported The export we are trying to obtain must include: All work orders from 1/2024 to present to include all work orders of any type, all fields, full descriptions, unsorted, unfiltered, not truncated, and with all comments. If fields are missing or excluded, this will be requested again. This is needed - even if it is 500 pages (Excel preferred - PDF Accepted). Deliverables: A written step-by-step guide explaining where to look in Yardi to export full work order data. Separate instructions for the different Yardi areas/modules where the process may vary. Explanation of why a normal work order summary report may not include full descriptions/comments. Explanation of what to ask a Yardi administrator if the site manager does not have permission. Recommended report names, menu areas, search terms, and export settings. Guidance on when a custom report, Report Runner, YSR, Data Connect, or Yardi support request is needed. If possible, links to official Yardi help articles, videos, documentation, or other reliable instructions. Optional but preferred: a short screen recording or video walkthrough showing one or more ways to pull the report. Important: We are not looking for a basic work order summary export. We specifically need full long descriptions and all comments/notes/history. If the standard report cannot do this, we need the guide to explain the workaround or escalation path. The final guide should be written clearly enough that a property manager, regional manager, asset manager, or administrator can read it and determine what to do in their own Yardi system.
