**Job Description:** We are seeking a qualified professional with substantial experience in Zoho Billing and Zoho Books to design and implement a scalable B2B subscription billing and accounting workflow. **Business Model Overview:** Our organization is a cloud services company that acquires approximately 100 new customers annually. We operate under a per-unit subscription pricing model, which entails monthly rates billed annually in advance. Additionally, we accommodate mid-term quantity adjustments (add-ons) and manage contracts offline; the system must accurately reflect the full lifecycle of these contracts. **Scope of Work:** 1. **Subscription and Billing Management** - Implement annual upfront billing, calculated as monthly rates multiplied by twelve. - Ensure full-month billing only. - Facilitate mid-term quantity additions with prorated billing, rounded to full months, allowing for the addition of quantities to the same active subscription. - Generate renewal quotes approximately 60 days prior to the end of the term. - Establish renewal uplift pricing ranging from 0% to 7%. - Ensure that post-renewal add-ons utilize the established renewal pricing. 2. **Estimate to Order to Subscription Workflow** - Develop a comprehensive estimate/quote that encompasses: - Hardware (one-time charge) - Subscription (recurring charge) - Professional services (one-time charge) - Manage subscriptions through Zoho Billing while invoicing hardware and services separately via Zoho Books. - Create a streamlined workflow: Quote → Sales Order → Approval → Subscription Creation. - Incorporate the capability to send quotes via email for approval, with a preference for automation. 3. **Revenue Recognition and Accounting (Critical)** - Configure deferred revenue with monthly recognition schedules. - Accurately map revenue as follows: - Year 1: “Sales – Hosting Fees” - Renewals: “Sales – Renewal Hosting Fees” - Ensure that: - Mid-term add-ons generate the correct recognition schedules. - Renewals result in the creation of new contracts and new schedules. - Hardware and services are recognized immediately. - There is full alignment between Zoho Billing and Zoho Books. 4. **Reporting Requirements** - Generate reports on active subscriptions (quantity, value, term). - Track upcoming renewals (30, 60, and 90 days). - Monitor renewal revenue. - Maintain visibility into open renewal quotes. - Provide customer-level insights into subscriptions and quantities. 5. **Proof of Concept (Mandatory)** - Set up a 12-month subscription. - Implement mid-term add-ons with accurate billing. - Facilitate renewals with uplift percentages. - Manage post-renewal add-ons. - Create a combined estimate that includes hardware, subscription, and services. - Develop key reports focusing on subscriptions, renewals, and forecasting. **Ideal Candidate Profile:** - Demonstrated expertise in both Zoho Billing and Zoho Books is essential. - Proven experience with complex B2B subscription models. - Strong understanding of revenue recognition and accounting processes. - Ability to design efficient and scalable workflows without over-engineering. - Capability to articulate limitations and best practices clearly. **Objective:** To establish a streamlined, automated, and scalable subscription and accounting system that ensures accurate revenue recognition while minimizing manual intervention.
