Summary

Summary We’re a growing web design agency looking for a Billing & Admin Assistant to help keep our invoicing, payment tracking, and general admin responsibilities organized. Most of our billing is handled through Zoho Books, so we’re looking for someone who is detail-oriented, reliable, and comfortable staying on top of client invoices, payment due dates, and follow-ups. You don’t need to know everything already — we’re happy to train the right person on our systems and processes. This is a great opportunity for someone who is organized, proactive, and wants to grow with a small but growing agency long-term. Responsibilities: Create and send client invoices through Zoho Books Track client payment due dates and keep billing records organized Follow up on unpaid or overdue invoices when needed Help make sure recurring invoices and payment schedules are accurate Keep internal notes and billing information up to date Communicate clearly with the team about payment status and client billing questions Assist with general admin tasks as needed Help improve billing and admin processes over time Requirements: Strong organizational skills and attention to detail Clear and professional communication skills Comfortable working with billing, invoices, and payment due dates Ability to stay on top of recurring tasks without needing constant reminders Comfortable using online tools and learning new systems Reliable, proactive, and able to keep information organized Nice to Have (Not Required): Experience with Zoho Books or similar accounting/invoicing software Previous experience with billing, admin, bookkeeping, or accounts receivable Experience working with a small business, agency, or remote team Basic understanding of client billing and invoice follow-up processes What We Offer: Ongoing work with a growing agency Flexible, remote work environment Clear systems and support to help you succeed Opportunity to learn and take on more responsibilities over time Long-term potential for the right person To Apply: Please include: A brief summary of your billing or admin experience Tools you’ve used for invoicing, bookkeeping, or admin work Any experience with Zoho Books or similar platforms Your availability and preferred working hours We’re looking for someone reliable, organized, detail-oriented, and eager to grow with us long-term.
