Summary

We are seeking an experienced Zoho consultant to help execute a Zoho-first Operational Reset focused on improving operational visibility, workflow structure, permissions, reporting, and project lifecycle management. This is not a simple CRM setup project. We are looking for a consultant who understands how to design operational systems that support sales-to-project handoff, project management, invoicing visibility, user permissions, and executive reporting. Our goal is to create a cleaner, more scalable operating environment using Zoho as the primary post-sale operational platform. Current Environment Our current technology stack includes: Zoho CRM Zoho Projects and/or related Zoho applications GoHighLevel QuickBooks Housecall Pro Microsoft Teams OneDrive The objective is not to replace these systems but to improve structure, governance, visibility, and workflow consistency. Scope of Work Phase 1: Zoho Operational Reset The consultant will work with leadership to review and improve: CRM & Project Structure -Review current Zoho architecture -Evaluate use of Deals, Projects, FSM, custom modules, and related components -Recommend and implement a go-forward structure for new opportunities and projects -Create standardized workflow stages User Roles & Permissions -Audit current user permissions -Rebuild role hierarchy where necessary -Establish security and governance best practices -Reduce unnecessary administrative access Project Lifecycle Tracking -Design operational lifecycle stages -Create project status visibility -Establish hold-status tracking -Improve bottleneck identification and aging visibility Reporting & Dashboards -Design executive dashboards -Create operational KPI reporting -Improve visibility into project progression and team performance -Build foundational reporting structure for future growth Invoice & Payment Visibility -Review current workflow between Zoho and accounting systems -Create visibility checkpoints for deposits, invoices, and payment status -Improve operational tracking without requiring a full accounting migration -Documentation & Training -Create SOP documentation -Document workflows and governance procedures -Conduct administrator and end-user training sessions -Support post-launch adjustments Deliverables -Updated Zoho architecture recommendations -Implemented CRM/project workflow structure -User roles and permission framework -Lifecycle stage framework -Executive dashboards and KPI reporting -Invoice/payment visibility process -Written SOP documentation -Team training sessions -Post-implementation support Preferred Qualifications We are specifically looking for consultants with: Advanced Zoho CRM experience Zoho Projects experience Zoho Flow experience Zoho Analytics experience Zoho One ecosystem knowledge Operational process design experience CRM implementation experience for home services, construction, solar, energy, HVAC, or field service businesses Bonus experience: QuickBooks integration Housecall Pro GoHighLevel Zoho FSM Workflow automation Business operations consulting Proposal Requirements Please include: Summary of your Zoho experience Relevant Zoho certifications Similar implementations completed Industries served Example dashboards or workflow projects Estimated timeline Hourly rate or fixed-fee proposal Availability for discovery sessions and implementation meetings Engagement Type Initial project-based engagement Potential for ongoing advisory and optimization work Remote Must be comfortable collaborating with leadership and operational stakeholders When applying, please begin your proposal with the phrase: "Zoho Operational Reset" This helps us identify applicants who have read the entire scope.
