# Zoho CRM Specialist Needed to Build Website-Connected Training & Certification Pipeline We are looking for an experienced Zoho CRM specialist to help us set up a simple training and certification tracking system that connects directly to our website. We already have a separate LMS, so we are **not** looking to build or host training content inside Zoho. We need Zoho to track each participant from website registration through training completion, assignment review, certification, roster approval, and recertification. ## Scope of Work The successful freelancer will help us: * Create a custom Zoho CRM module for training participants * Connect our website registration/application form to Zoho * Ensure website submissions automatically create or update participant records in Zoho * Set up a clear pipeline or Blueprint to track participant stages * Add fields to track registration, cohort, LMS status, assignment review, certification status, roster status, and recertification dates * Build basic workflow automations, tasks, reminders, and email notifications * Create staff-friendly views for managing participants * Create dashboards and reports for tracking progress * Set up a simple process for manually updating LMS progress or importing LMS data * Provide basic documentation or a walkthrough so our team can manage the system after setup ## Website Integration Requirements The system should allow participants to register or apply through our website and have that information flow into Zoho automatically. We need support with: * Website form integration with Zoho CRM * Embedded Zoho form, API/webhook connection, Zoho Flow, Zapier, or another recommended method * Field mapping between the website form and Zoho CRM * Automatic creation of new participant records * Avoiding duplicate records where possible * Capturing application source, date submitted, province/location, language preference, and contact information * Sending confirmation emails after website submission * Creating internal follow-up tasks when a new submission is received * Ensuring the setup is clean, secure, and easy for staff to manage ## Desired Pipeline Stages The pipeline should generally include: 1. Registration/application received 2. Application/eligibility review 3. Accepted into training 4. Agreement/consent pending 5. LMS access created 6. Training in progress 7. Training complete 8. Assignment submitted 9. Assignment under review 10. Revisions required, if applicable 11. Assignment approved 12. Certification review 13. Certified 14. Added to active roster 15.
