E-commerce Operations & Systems Specialist (ClickUp, Automation & Process Optimization)

We are a fast-growing multi-million dollar e-commerce company selling physical products primarily in the United States. Over the last few years, we have built multiple departments including Customer Service, Marketing, Creative, Finance, Fulfillment and Management. As the business continues to grow, we want to create a more structured, professional and scalable operating system behind the company. We are looking for an experienced Operations & Systems Specialist who can help us improve the way our company operates. The Project We are not looking for a simple automation builder. We are looking for someone who can review our current systems, identify bottlenecks, improve workflows, optimize ClickUp, and help us build a business that can scale efficiently. Our goal is to create a company that runs on clear systems, accountability, reporting and automation rather than relying on manual work and constant management oversight. What You'll Do - Operations Audit 1. Review our current operational structure 2. Analyze how departments work together 3. Identify bottlenecks and inefficiencies 4. Find opportunities for improvement - ClickUp Optimization 1. Review and optimize our current ClickUp setup 2. Improve workspace structure 3. Improve task management and accountability 4. Create scalable workflows 5. Improve department visibility and ownership - Process Improvement 1. Standardize recurring processes 2. Improve communication between departments 3. Reduce unnecessary manual work 4. Improve team accountabilityCreate clearer operational systems - Automation & Systems 1. Identify opportunities for automation 2. Recommend and implement solutions using tools such as ClickUp, Zapier, Make, AI tools and other platforms 3. Improve information flow between departments 4. Reduce repetitive work - Reporting & Dashboards 1. Improve operational visibility 2. Recommend KPI dashboards 3. Create better reporting structures 4. Help management make faster decisions based on data Deliverables At the end of the project, we expect: - A complete operations audit - A list of bottlenecks and inefficiencies - Recommendations for improvement - A roadmap for implementation - ClickUp optimization recommendations - Workflow improvements - Automation recommendations - A more scalable operational structure Requirements Must have experience with: - E-commerce businesses - Operations management - ClickUp - Process optimization - Workflow design - Business systems - Automation tools (Zapier, Make, AI tools, etc.) Strong preference for candidates who have worked with Shopify-based e-commerce brands.
