The system will handle inbound/outbound customer queries, answer FAQs based on a structured knowledge base, check real-time availability, and automatically schedule/book appointments into our calendar system without human intervention. Our goal is to create a seamless, low-latency, and human-like customer support experience that automates our daily booking operations. Key Responsibilities: Voice & Chat AI Setup: Build and configure a conversational AI agent using voice-AI platforms (e.g., Vapi, Bland.ai, Retell AI) integrated with Twilio for phone lines. LLM Integration & Prompt Engineering: Integrate the system with advanced LLMs (e.g., OpenAI GPT-4o, Google Gemini) and write precise, context-aware system prompts to ensure the AI acts as a professional receptionist. Knowledge Base Configuration: Structure and implement an internal knowledge base (FAQs, pricing, business hours, services) so the AI never hallucinates and provides accurate answers. Workflow Automation: Create robust automation workflows using Make.com (formerly Integromat) or Zapier to bridge the AI agent with our scheduling and CRM systems. Calendar Integration: Implement real-time, two-way sync with scheduling tools (e.g., Google Calendar, Calendly, or industry-specific CRM/booking systems) to allow the AI to check slots, book appointments, and handle cancellations/rescheduling. Testing & Optimization: Optimize the conversational flow for low latency (fast response time) and natural speech patterns.
