What hard and soft skills do you have that make you a great program manager?

First, the candidate has the chance to provide additional background information and examples that can help you to better understand the skills they possess. The candidate’s response also highlights how well they understand the position, the challenges that come with program management, and what it takes to be a great manager. Look for a candidate to highlight key talents, like leadership skills, communication skills, management skills, time management talents, problem-solving abilities, and technical knowledge. 

What is the biggest challenge that you’ve faced during your career, and how did you overcome it? 

Program management is full of challenges and how a candidate reacts to challenges can tell you a lot about their performance, drive, and skill as a manager. This question can give you an idea of how a candidate is likely to perform for your business, even during difficult times. 

How would you describe your project management style? 

Asking a candidate to describe their project management style can help you to tell how well they’ll fit in with your established team. A program manager will often need to collaborate with many team members, including a team of project managers, other program managers, supervisory staff, and more. Finding someone whose leadership style meshes well with your existing team can help to ensure that person makes a smooth transition into your business. 

Please describe your methodology when evaluating and implementing a new project?

Program managers need to be able to identify and implement appropriate projects within their programs. Look for the candidate to touch on key elements like realizing company goals, establishing milestones and deliverables, evaluating project risk, task prioritization, scope creep prevention, hiring a project manager, building a project team, and establishing metrics and evaluations throughout the entire project life cycle. 

What types of technology and tools have you previously used, and which do you feel are most valuable to your position?

This question will give you a sense of an applicant’s comfort level with different types of technology, including the programs that you use in your business. It has the added benefit of giving the applicant a chance to share different programs that they find helpful. You might consider adding some of these programs to your business if you decide to work with the candidate. 

What is your preferred communication style?

Program managers need to communicate well and frequently with several key audiences, including company stakeholders, team members, staff, recruiters, hiring managers, product managers, project managers, and more. Finding out how a candidate best communicates with others can give you an idea of how well they’re likely to be able to perform this key skill within your business. 

Tell me about a time when a program or project didn’t succeed. What would you do differently?

Programs and projects fail, but it’s important that program managers are able to identify why those failures occurred. You might follow up with additional questions about how the candidate evaluated the failure and what steps they took to prevent future similar failures. 

Please describe an instance where you had to balance multiple priorities and deadlines. How did you accomplish that successfully?

Program managers need to be able to multitask and oversee different projects, initiatives, and more. This question gives applicants a chance to use their past experience to demonstrate why they’ve been successful and how they can be successful in this role. 

How do you stay informed about industry trends?

Program management trends like remote working and the use of automation are shaping the industry, and a manager who stays up-to-date on these trends can take advantage of their benefits. A candidate who stays informed about trends also demonstrates a personal investment in their career and their work. Look for signs that the candidate takes initiative to continue to learn, such as by subscribing to industry publications or attending conferences and workshops. 

How do you align multiple projects to ensure they contribute to the overall business objectives?

The interviewer wants to understand your strategic thinking skills and how you ensure that all projects within a program align with business objectives. Discuss your project prioritization, resource allocation, and stakeholder communication approach when responding.

"I start by understanding the business objectives and then align each project based on its impact towards achieving them. This involves prioritizing projects, aligning resources, and ensuring all stakeholders understand the objectives and their role in achieving them."

Can you describe a program you managed that achieved significant results?

This question assesses your experience and success as a Program Manager. When answering, discuss the program, your role in managing it, and the results achieved.


Sample Answer:


"In my previous role, I managed a program to reduce operational costs. We initiated projects like streamlining processes, automating tasks, and re-negotiating vendor contracts. The program was successful, resulting in a 20% reduction in operational costs."

How do you manage risks in a program?

A good Program Manager must have an established approach to risk management. What’s yours? Discuss how you identify, assess, and mitigate risks.

"I believe in proactive risk management. I start by identifying potential risks and then assess their impact and likelihood. Based on this, we develop a risk mitigation plan. Regular risk reviews are also important to manage new risks during program execution."

How do you manage and coordinate multiple teams working on different projects within a program?

This question assesses your leadership and coordination skills. When responding, highlight your communication skills, your approach to team collaboration, and how you handle conflicts or disagreements.

"I ensure regular communication between teams through meetings and updates. I also facilitate collaboration by setting up shared workspaces and encouraging cross-team learning. When conflicts arise, I work with the teams to understand the issues and find a resolution."

How do you measure the success of a program?

An organization needs to assess its understanding of program performance metrics. When answering, discuss how you define success in terms of key performance indicators (KPIs) related to the program's objectives.


Sample Answer:


"The success of a program is determined by its ability to meet its defined objectives. I define KPIs based on these objectives, which could be financial, operational, or customer-related. Regular monitoring of these KPIs helps measure program success."

Describe when you dealt with a significant change or obstacle during program execution. How did you handle it?

The interviewer wants to gauge your problem-solving skills and resilience. When responding, provide a specific example highlighting your ability to adapt and find solutions in challenging situations.

How do you ensure clear and effective communication between the program team and stakeholders?

This question aims to understand your communication skills. When responding, discuss your strategies for ensuring everyone involved in the program is informed and engaged.

What strategies do you use to keep the program on schedule?

It is crucial for a company that the Program Manager has excellent schedule management skills. Are there certain tendencies you have to ensure all tasks are carried out in the correct order and at accurate times? How do you monitor progress and handle delays?
