About Us We are building a high-volume virtual recruiting system for a rapidly growing insurance organization. Our goal is to create a streamlined, automated recruiting process that takes candidates from initial outreach through interview scheduling, pre-licensing, onboarding, and long-term nurturing. We already have our technology stack selected. We are looking for an expert who has experience implementing and optimizing recruiting CRM systems—not someone learning these platforms for the first time. Our Current Tech Stack HubSpot (CRM) Instantly (Email Outreach) EZ Texting (SMS) Cal.com (Interview Scheduling) Beehiiv (Newsletter) Zapier and/or Make (Automation, if needed) Our Recruiting Workflow Our recruiting process is straightforward: Import warm and cold candidate CSVs into HubSpot. Manage every candidate inside HubSpot as the single source of truth. Send outreach through: Email (Instantly) SMS (EZ Texting) LinkedIn (handled manually when applicable) Candidates schedule interviews through Cal.com. Automated email and SMS reminders are sent before the interview. Recruiters conduct the interview. Candidates are moved into one of two paths: Pre-Licensing Pipeline Long-Term Newsletter Nurture Candidates who are not ready immediately continue receiving weekly educational content and webinar invitations through Beehiiv until they decide to move forward. What We Need We are looking for someone who has experience building recruiting or sales automation systems and can help us: Configure HubSpot specifically for recruiting Build clean recruiting pipelines Create automation workflows Connect HubSpot with Instantly Connect HubSpot with EZ Texting Connect HubSpot with Cal.com Connect HubSpot with Beehiiv Configure automatic pipeline updates Build recruiter task automation Create dashboards and reporting Keep HubSpot clean, organized, and easy for recruiters to use Requirements Strong HubSpot CRM experience Experience building recruiting or hiring pipelines Experience with workflow automation Experience integrating multiple SaaS platforms Experience with Instantly Experience with EZ Texting (or similar SMS platforms) Experience with Cal.com or comparable scheduling platforms Experience with Zapier and/or Make Excellent understanding of CRM architecture and automation best practices Bonus Experience Recruiting CRM implementations Insurance recruiting High-volume recruiting operations Marketing automation HubSpot Operations Hub API integrations What Success Looks Like The final system should allow recruiters to manage the entire recruiting process from HubSpot while all communication and scheduling happen automatically through the connected platforms. Recruiters should spend their time talking to candidates—not manually updating systems. If you have built similar recruiting automation systems before, please include examples of your work, the platforms you used, and explain your role in the implementation.
