No-Code Automation Developer — Airtable + Make + Tally — Fixed Price Only I’m building DriveShield Australia, a B2B driver risk sharing network for Australian car rental operators. When one operator records a high-risk driver incident, all operators on the network can instantly check that driver before handing over the keys. This is Phase 1 — a no-code pilot to validate the model with the first 10–20 operators. Phase 2 will be a custom-built production platform (AWS Sydney) funded after the pilot. The right developer may have the opportunity to be involved in that next phase. How it works — the user journey: An approved operator visits a Tally form, enters a driver’s licence number, and receives an automated email within seconds showing either Clear, Caution, or High Risk — based on whether that driver appears in a shared incident database. Separately, when an operator experiences an incident with a driver, they submit it via a second form and it is recorded in the database for future queries by all network members. A third form handles new operator registration, which is manually approved by the admin before access is granted. Approved operators are also invited to submit historical incident data (past 3 years) via a CSV template — the admin reviews and imports this directly into Airtable using its native CSV import feature. No additional build is required for historical imports. What you’ll build: A simple but robust automated system with three core functions, plus a branded operator-facing interface: 1. Operators register and are approved to join the network 2. Operators submit driver incident records 3. Operators query a driver licence number and receive an instant risk result by email (Clear / Caution / High Risk) — result is calculated using a severity-weighted scoring system (S1–S4) with instant HIGH RISK triggers for Theft and Fraud 4. Operators access the system via a Softr-powered portal at portal.driveshieldaustralia.com — with email/password login, query history, submission history, and Tally forms embedded with email pre-fill The tech stack: • Airtable — database (4 tables with linked records and filtered admin views) • Tally — 3 forms connected to Make via webhook • Make — 4 automation scenarios including error handling, duplicate detection, and severity-weighted risk scoring • Microsoft 365 Outlook — all outbound email notifications (client has existing Microsoft 365 Business account) • Softr — password-protected operator portal with login authentication, connected to Airtable What I need from you: • Airtable base fully built — all tables, fields, relationships, and admin views • 3 Tally forms built and connected to Make via webhook • Tally Pro plan configured — branding removed from Forms 2 and 3, both forms embedded inside Softr with operator email pre-filled automatically • Softr portal built at portal.driveshieldaustralia.com — login page, Query page, Submit page, Query History, Submission History, Support page • Make configured to create Softr user accounts automatically when an operator is approved in Airtable • 4 Make scenarios built, tested, and active • Error handling for failed automations, duplicate submissions, and blocked queries • Security configuration across all tools — 2FA, access controls, HTTPS webhooks, role-based permissions • 23 specific test scenarios passed and documented with dummy data only • Handover document written in plain English so I can manage the system myself — must include the CSV import procedure for operator historical incident data (admin-managed, no additional build required) Security and privacy requirements: This system handles driver licence numbers — personal information under the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). The following must be built and configured as part of the scope: • Australian Privacy Principles (APPs 1, 3, 4, 5, 6, 8, 9, 10, 11, 12, 13) compliance built into the system design — driver licence numbers are government-related identifiers under APP 9 and must be handled accordingly • Two-factor authentication (2FA) enabled and documented on all accounts (Airtable, Make, Microsoft 365) • HTTPS-only webhooks between Tally and Make — HTTP not acceptable • Unique webhook secret token configured in Make for each Tally webhook to prevent unauthorised submissions • Microsoft 365 Outlook connected to Make via OAuth 2.0 only — SMTP and basic auth are not acceptable • Role-based access controls in Airtable — admin retains Owner access, freelancer uses minimum collaborator permissions only • Data minimisation — only the minimum necessary fields stored: driver licence number, issuing state, first name, last name, and date of birth. Name and DOB are required for cross-state identity matching (drivers who migrate their licence to a new state receive a new licence number — name + DOB enables the fallback lookup). No address, photo, payment data, or other personal information under any circumstances. • Comprehensive audit logging — every query and submission logged with operator ID, timestamp, and result • Airtable revision history enabled on all tables • Data retention fields and admin views configured (records flagged for review after 3 years) • Privacy Collection Notice confirmation checkbox in operator registration form (APP 5) • Basic incident response procedure documented in handover • Note: Australian data residency (AWS Sydney) is a production platform requirement — the no-code MVP uses US-hosted tools as an accepted pilot limitation You must have: • Proven experience building with Airtable + Make + Softr — portfolio examples or past projects required • Experience connecting form tools (Tally, Typeform, or similar) to Make via webhook • Experience configuring security in no-code tools — 2FA, OAuth, webhook tokens, access controls • Experience handling sensitive personal data responsibly — this system is Privacy Act compliant • Strong attention to detail — this is a real product used by real businesses • Good written English for the handover document • Willingness to sign an NDA and IP assignment deed before the full brief is shared Project details: • Fixed price only — no hourly quotes will be considered • Timeline: 3 weeks from start to handover • NDA and IP assignment required before full brief is shared • All tool accounts are created by me — you are invited as a collaborator and access is revoked on completion • All testing must use dummy data — no real personal information at any stage • Budget is in AUD — please confirm you are quoting in AUD To apply, answer these three questions — applications without answers will not be considered: 1.
