Convert Relational Microsoft Access Grants & Contracts Database into Airtable (15-20 Tables)

We are a nonprofit research organization seeking an experienced Airtable database specialist to migrate an existing Microsoft Access contracts and grants tracking database into Airtable. Our current database contains approximately 15–20 related tables supporting award tracking, budgets, invoicing status, compliance/reporting requirements, and subawards. The goal is to preserve the relational structure while improving usability and transparency for staff. Scope of Work: • Review existing Access database structure and relationships • Recreate relational schema in Airtable • Import historical data accurately • Preserve key linkages between awards, funding sources, budgets, invoices, and reporting requirements • Recommend improvements to structure where appropriate • Create useful staff-facing views • Assist with permissions setup • Provide brief documentation of structure and maintenance approach Deliverables: • Fully functional Airtable base replicating current system functionality • Clean migration of historical data • Relationship mapping between tables • Suggested usability improvements implemented where appropriate • Short documentation for internal users Preferred Qualifications: • Strong Airtable architecture experience • Demonstrated experience migrating Microsoft Access databases • Experience working with contracts, grants, or nonprofit data strongly preferred • Ability to explain structural decisions clearly Timeline: Flexible (approx. 2–5 weeks expected) Please include examples of similar migrations or relational Airtable builds.
