Executive Assistant to CEO — Remote, Pacific Hours, Long-Term Seat
Only freelancers located in the U.S. may apply.U.S. located freelancers only
We're a personal-brand business — our CEO leads across publishing, speaking, mentorship, and network marketing — hiring a dedicated Executive Assistant to serve as his right hand for the daily operating rhythm. This role is deliberately scoped as a long-term seat. If you're looking for a stepping stone into ops, chief of staff, or team management, this is not the role. If you want to do executive support at a high level, for the long term, with someone who invests in his people — keep reading. What you would own: • Calendar management, scheduling, and gatekeeping • Inbox triage and drafting replies in the CEO's voice • Daily standups and end-of-day reports • Meeting prep, agendas, one-page dossiers • Personal admin and follow-up • Coordination with our travel manager and operations team What you would NOT own: • Content production, marketing, or brand strategy • Travel booking • Financial administration How our CEO works — read carefully: • Texts over email for quick items • Wants specifics over generalities ("done by Thursday 4pm," not "soon") • Direct, fast-paced, expects follow-through • Does not touch task management tools — the EA translates and runs the backend invisibly • Gives leeway, not detailed direction — you'll figure things out without hand-holding Must-haves: • 5+ years supporting a C-level executive or founder • Cross-platform tech fluency (Google Workspace AND Microsoft 365) • Comfortable using AI tools daily in your workflow • Excellent written communication — able to write in someone else's voice • Available during Pacific Time business hours • Comfortable with ambiguity, off-hours texts, and shifting priorities. This is not a 9-to-5 HOW TO APPLY — please answer these three questions directly in your proposal. Applications that skip these or read as AI-generated will not be reviewed. 1. Name three AI or productivity tools you currently use in your workflow, and briefly describe what you've built or automated with them. 2. Are you fluent in Google Workspace, Microsoft 365, or both? 3. Tell us about a time your executive gave you a vague or one-line instruction, and you had to figure out what they actually wanted. What did you do, and what happened? Compensation: Based on your experience and demonstrated capability, not a fixed number. Share your current earnings and target — we'll be transparent about where you fit. We're looking for someone who thinks and writes in specifics.
