About the Role I'm an entrepreneur operating multiple businesses and projects and I'm looking for a highly organized, proactive Executive Assistant & Operations Coordinator to help create structure, maintain momentum, and reduce operational bottlenecks. This is not a traditional administrative assistant role. I'm looking for someone who can take ownership of the details, follow-ups, coordination, and organization required to keep multiple ventures moving forward while freeing me to focus on partnerships, sales, growth, strategy, and high-impact work. The right person will become a trusted partner who helps create clarity from complexity and ensures that important things don't fall through the cracks. Why This Role Exists My time is best spent on business development, partnerships, sales, strategic thinking, and growth. As the businesses grow, the volume of administrative work, coordination, scheduling, follow-up, and project tracking has grown with them. I'm looking for someone who can take ownership of those responsibilities so I can focus on growing the businesses while maintaining a healthy, sustainable life outside of work. Success in this role means helping create more capacity, better organization, and fewer open loops. Responsibilities Executive Support Calendar management and scheduling Inbox management and email triage Meeting coordination and follow-up Travel planning and logistics Document organization Appointment scheduling Operations Coordination Maintain and manage task lists and project trackers Follow up with vendors, partners, contractors, and team members Track deadlines and commitments Coordinate project logistics across multiple ventures Maintain CRM and pipeline updates Prepare weekly status reports and summaries Create and improve systems, workflows, and SOPs where needed Administration Expense tracking and receipt organization Coordination with bookkeeping and accounting providers Event and registration management Basic research and information gathering Personal & Lifestyle Administration Personal appointments and scheduling Travel and itinerary coordination Horse and ranch administration (registrations, entries, scheduling, paperwork) Miscellaneous administrative support as needed
