Newsletter Platform Operations Lead (High‑Volume Portfolio Management)

The main objective is to build a reliable operating system that allows a high volume of publications to be handled in parallel, with strong quality control, platform safety, and predictable delivery. Responsibilities Design and document an operational workflow for managing a large number of publications simultaneously (creation, setup, formatting, posting, light engagement). Organize or bring an existing team/solution capable of handling repetitive tasks at scale under your coordination. Implement repeatable routines for: Content upload and scheduling (content or templates are provided). Basic formatting, tagging, link checks, and consistency with brand guidelines. Monitoring publication status, notifications, and basic deliverability/health signals. Coordinate work through tools like Slack, Notion, and shared trackers so everything is transparent and documented. Continuously improve throughput, reliability, and process clarity over time. Requirements Proven experience managing high‑volume operations on content, newsletter, social, or media platforms (multiple profiles / publications / campaigns). Strong background in project / operations management: planning, prioritization, process ownership. Ability to build SOPs, checklists, dashboards, and QA loops so work can be delegated and scaled. Understanding of platform risk management: how to keep operations compliant, low‑risk, and “natural” from the platform’s point of view. Clear written and spoken English and ability to report progress in a structured way. Nice to have Experience with newsletter platforms, multi‑browser environments, profile/container management, or proxy‑based workflows. Technical familiarity with automation tooling (e.g. scripts, APIs, integrations) to support or extend your operational setup. Not a fit One‑off VA work for a small number of publications. Aggressive, spammy growth tactics or anything obviously against platform rules. Short‑term only operators without process ownership. Collaboration details Long‑term cooperation if there is a good mutual fit. Open to hourly or fixed models; monthly retainer for ongoing ownership is preferred.
