This isn't an admin role — you'll own client deliverables end-to-end for a portfolio of coaches, course creators, and consultants. We're looking for a doer: someone who ships finished work, closes loops, and takes pride in nothing slipping through the cracks. What You'll Actually Do Day-to-Day • Build and update spreadsheets — trackers, launch calendars, client reporting workbooks • Pull metrics and assemble reports so clients see progress without anyone chasing numbers • Process meeting transcripts (Otter.ai) into action items, then follow those items through in Asana until they're done — every task with an owner, due date, and current status that's accurate without being asked • Use AI tools daily — Claude, Manus, and others — to draft, build, and move work forward faster (we'll train our system; you bring curiosity and fluency) • Update and maintain files, docs, and client assets so the current version is always the findable version • Prep meeting agendas from prior action items; capture post-meeting tasks within 24 hours • Schedule client meetings and keep the client calendar aligned across time zones • Execute deliverables from briefs and task breakdowns — drafts, builds, updates, setups — to a ready-for-review state What We Hold You Accountable To • Quality is the deliverable. Client-ready means polished — clean formatting, correct branding, accurate details, links tested, files verified. If you wouldn't send it to your own paying client, it's not done • We work 3 days ahead. Deliverables are ready three days before they're due — not started three days before. That buffer is where review, fixes, and client changes happen without fire drills • Own it until it's resolved. Blockers are yours to run down; escalate with what you tried and a proposed fix, never just the problem • Status is always current. No one should ever have to ask “where is this?” • Report completions, not activity. “Done and verified” is the unit of work How We Measure Success • 90%+ of deliverables ready 3 days before their client due date • 80%+ approved on first pass with only minor edits (by day 90) • Zero client-facing errors — broken links, wrong info, missing files • Blockers resolved or escalated-with-a-solution within one business day You're a Fit If You've worked inside online businesses — launches, funnels, course platforms, email tools. You'll work directly with Annette, touch every client in the portfolio, and see exactly how a modern, AI-powered service business runs from the inside.
