Position Summary The Operations and Project Manager for Products and Standards supports the day-to-day execution of Green Seal's standards and certification activities. This role manages and continuously improves routine operations, develops operational systems and documentation, and coordinates projects and technical request workflows that support the consistency, integrity, and efficiency of Green Seal's standards program. Working across Products and Standards, Certification, Operations, Quality, and technical subject matter experts, the manager keeps work organized and moving forward in accordance with Green Seal procedures and recognized best practices. The role requires strong project coordination, process management, communication, and research skills, as well as the ability to support Certification Assessment Bodies, clients, staff, and other external stakeholders. This is a 20 hour / week role reporting to the Standards Leadership team, primarily the Senior Director of Products and Standards. Technical expertise in sustainability or certification is helpful, but the role is primarily intended to provide operational coordination and process management capacity rather than serve as the primary technical authority. Key Responsibilities Project and Process Management - Coordinate projects and recurring operational activities that support Green Seal's standards and certification program. - Develop and implement practical workflows, trackers, and tools that improve operational efficiency and consistency including knowledge management systems. - Identify process improvements and help build more efficient ways of working. Stakeholder and Request Coordination - Manage incoming questions and requests from Certification Assessment Bodies (CABs), customers, and internal staff. - Coordinate responses with technical experts and ensure timely follow-up. - Develop standardized responses, FAQs, templates, and guidance to improve consistency and reduce recurring work. CAB Request Management & Workflow Coordination - Design and implement a scalable process for receiving, tracking, prioritizing, and resolving CAB requests. - Manage and continuously improve the request management system using Zoho Desk or other tracking tools. - Monitor trends and recommend process improvements. Research Support - Conduct targeted research using AI, internal resources, and public information and summarize findings, including where technical or leadership input is needed. Communication & Documentation - Draft clear internal and external communications. - Develop and maintain SOPs, templates, trackers, decision logs, and other operational documentation that support consistent execution. - Provide timely updates on progress, risks, and issues requiring escalation. Standards Maintenance and Program Updates - Coordinate routine updates to Green Seal standards, including reviews, timelines, documentation, and follow-up. - Support standards withdrawals and other recurring updates by keeping work organized and decisions documented. Experience: - 2–4 years of experience in project coordination, program operations, certification operations, standards management, quality systems, sustainability programs, or a related field. - Demonstrated ability to manage multiple workstreams, track details, meet deadlines, and follow defined processes consistently. - Experience developing or maintaining procedures, trackers, templates, workflows, or operational systems. - Strong written communication skills, including the ability to draft clear responses, summaries, guidance documents, and process materials including for external stakeholders. - Ability to triage questions, identify when expert input is needed, and coordinate timely responses across teams. - Comfort working with internal systems, shared trackers, help desk tools, and AI-supported research tools. - Strong attention to detail and ability to maintain accurate documentation. - Ability to work collaboratively with staff, technical experts, Certification Assessment Bodies, and external stakeholders. - Familiarity with standards, certification, sustainability, environmental health, quality systems, or nonprofit operations preferred. - Bachelor’s degree preferred, or equivalent experience in a relevant operational, program management, or certification-related role.
