Zoho One Setup & Integration Specialist — CRM Migration + Marketing Stack Consolidation

ABOUT THE PROJECT We are a U.S.-based licensing and accreditation consulting firm consolidating our scattered tools into Zoho One. We need an experienced Zoho specialist (Zoho Certified Partner strongly preferred) to set up Zoho One end to end, migrate our data out of several existing platforms, and connect the outside tools we're keeping. The goal: one hub where our lead, marketing, meeting, and financial data all come together — set up cleanly enough that our small, non-technical team can run it confidently after handoff. — SCOPE OF WORK 1) Zoho CRM Setup & Data Migration - Set up Zoho CRM with a CUSTOM pipeline that reflects our real lead-to-client sales stages (we will provide the exact steps). - Migrate all CRM data from Zendesk Sell (being retired): contacts, leads, deals, AND — critically — email and activity history, not just records. - De-duplicate and clean data during migration. - Configure user accounts and permissions (2 users). 2) Marketing Migration & Setup - Migrate Mailchimp → Zoho Campaigns: subscribers, list segments, tags, and unsubscribe/suppression lists. Rebuild welcome-email automations and the automatic new-blog-post (RSS) broadcast. - Migrate Constant Contact → Zoho (Campaigns + Zoho Social): contacts and our scheduled social media calendar (we schedule 6–12 months in advance). - Set up email domain authentication (SPF, DKIM, DMARC) so campaigns deliver properly and don't hit spam. 3) Integrations — Tools We Are KEEPING - Crisp live chat → Zoho CRM (every chat creates/updates a lead) - Webflow website forms → Zoho CRM - Google Forms questionnaire → Zoho CRM (map answers to CRM fields) - MeetGeek.ai → Zoho CRM (sync meeting recordings, transcripts, and highlights onto records) - DocuSign → Zoho CRM (send contracts for signature from the deal record; we are keeping DocuSign) - QuickBooks → Zoho CRM/Books (sync customers, invoices, payments). INTEGRATION ONLY — do NOT migrate our accounting. - Semrush + Google Ads + Google Analytics (GA4) → Zoho Analytics: build closed-loop dashboards (campaign/keyword → lead → client). 4) Automation & Workflows - Build follow-up automations (e.g., create a task/reminder when a deal reaches "Proposal Sent"). - Set up Zoho Bookings for discovery calls and client check-in scheduling. - Set up Zoho Meeting/Webinar plus a past-client re-engagement workflow (segment completed clients → email invitation → self-booking). 5) Testing, Documentation & Training - QA-test EVERY lead source to confirm data flows correctly before go-live. - Deliver written documentation + a recorded (Loom) walkthrough of the full setup. - Run one live training session for our team. — REQUIRED SKILLS & EXPERIENCE - Proven Zoho One / Zoho CRM implementations (please share examples). Zoho Certified Partner strongly preferred. - Zoho Flow automation experience. - Hands-on email-platform migration (Mailchimp and/or Constant Contact → Zoho Campaigns), including deliverability/domain setup. - CRM data migration experience that preserves activity and email history (Zendesk Sell experience a strong plus). - Integration experience with the tools listed above (Crisp, Webflow, QuickBooks, MeetGeek, DocuSign, Google Ads/Analytics, Semrush). - Clear written English and strong documentation habits. — WHAT WE PROVIDE - Admin access to the tools involved. NOTE: we retain ownership of all accounts; you will be added as a user/collaborator, not owner. - Our sales-process stages, brand assets, and credentials for the tools listed. - We will purchase and own the Zoho One license ourselves — please advise us on the right plan (Flexible User vs. all-employee) before we buy. — PLEASE ANSWER WHEN YOU APPLY 1.
