n8n + Vapi + Supabase Automation Specialist — Deploy a Productized AI Voice System
Worldwide
We run a productized AI voice-agent system for appointment-driven service businesses (home services, clinics, salons, and similar). The system is already built, tested, and live we're not asking you to design it. We need a reliable specialist to deploy and configure it for new clients from our documented setup process, on a fixed-fee per-deployment basis, with steady ongoing work as we grow. What the system does (what you'll be deploying): Every client deployment stands up a single-tenant instance of our core engine: A 24/7 AI voice receptionist that answers calls, qualifies the caller, and books straight into a calendar (Vapi + ElevenLabs) Missed-call text-back from the client's own number (Twilio Hosted SMS) Appointment booking into Google Calendar / Cal.com (v2 API) Lead capture — every caller saved to the database (Supabase) Call recording, transcription, and logging Email + SMS booking confirmations (Resend + Twilio) "Keep their number" via conditional call-forwarding (no porting by default; porting only for full-takeover clients) A client-facing portal/dashboard (Next.js + Supabase on Vercel) Higher tiers and add-ons layer on n8n automations you'll configure per client: appointment reminders, a sentiment-gated review engine, lead routing + tagging, multi-staff / multi-calendar booking, lost-lead auto-chase, outbound AI voice callbacks, database reactivation campaigns, and — as a scoped add-on — pushing the receptionist's output (new contact, call outcome, transcript/recording link, booking) into a client's existing CRM via its API (HubSpot, Pipedrive, Zoho, Jobber, Housecall Pro). A standard deployment looks like: Spin up a new client instance from our template (per-client voice assistant generated from config) Provision and connect the number (call-forwarding setup) and the calendar Configure the voice agent and the relevant n8n workflows to the client's business Run our four-point acceptance test — call → booking → calendar event → database record → confirmation email — and confirm all four pass Document anything client-specific Our stack you must be fluent in most of these: n8n (our core), Vapi, Supabase (Postgres + RLS + auth), Cal.com v2 API, Twilio (numbers, Hosted SMS, A2P), Next.js / Vercel, Resend. What we need from you: Proven, shipped experience with n8n and at least 2–3 of the tools above Comfort working from an SOP and being measured against a defined acceptance test we pay on the system passing end to end, not on "done" Clear, fast communication and sharp clarifying questions Discretion with client credentials you'll get scoped, revocable access; we own all accounts To apply, answer these three at the top of your reply (generic proposals will be ignored): Which of the tools above have you actually shipped with? Link one example or describe one real project. We have an n8n flow that books into Cal.com, but bookings intermittently fail on phone-number formatting. What's your first hypothesis? Your flat rate to deploy a single, already-documented client instance of a system like this.
