Summary

Administrative & CRM Coordinator (Full-Time, Long-Term Position) We are looking for a highly organized individual who is comfortable with computers, spreadsheets, and software systems. The ideal candidate must speak and write English clearly and professionally. Responsibilities: -Financial & Administrative Support- • Contact clients regarding outstanding invoices and payment follow-up. • Assist with account reconciliations, audits, and administrative reporting. • Review documentation for accuracy and completeness. • Maintain organized digital records and filing systems. -CRM Administration- • Maintain accurate customer, sales, and job records within CRM and other company systems. • Review job information to ensure accuracy and completeness. • Assist with job costing, invoice processing, and data entry. • Verify parts, materials, and supplier invoices are correctly assigned to jobs. -Payroll & Employee Administration- • Review employee timesheets for accuracy and completeness. • Assist with maintaining employee records and administrative documentation. -Operations Support- • Assist with scheduling, reporting, planning, and workflow management. • Monitor company systems to identify missing, incomplete, or inaccurate information. • Support management with recurring administrative and operational tasks. • Help maintain organized processes across multiple departments. -Compliance & Record Management- • Maintain documentation related to training, certifications, vehicle records, and company compliance requirements. • Assist with audits, inspections, and record verification activities. • Ensure records are complete, accurate, and up to date. Requirements: Strong computer skills. Experience with spreadsheets and CRM software. Excellent organizational and communication skills. Ability to work independently and pay close attention to detail. Clear and professional English communication. Reliable internet connection and dedicated workspace. Must have a computer with a webcam. Monitoring & Security Requirements: Company software will be installed to track work activity during working hours. The approved computer and IP address must be used for company systems. Our systems automatically track uploads, changes, and activity for security and quality control purposes. References Required: Minimum of 3 business references. At least 1 reference must be from a business located in a well-established country such as Canada, the United States, the United Kingdom, Australia, or New Zealand. At least 2 references must be from businesses in your home country. All references must be legitimate business contacts that can verify your work history and performance.
