Assistant for Residential Roofing / Insurance Restoration (Ongoing, 15-20 hrs/week)

BOLD Roofworks is a residential roofing and insurance restoration company in Tulsa, Oklahoma. The work is steady and growing, and the back office needs a dedicated set of hands. This is an ongoing, indefinite role at roughly 15 to 20 hours a week. The right person keeps projects moving behind the scenes: files organized, claims tracked, customers updated, nothing falling through the cracks. No selling, no climbing roofs. You'll be the operations backbone that keeps the owner free to stay in the field. What you'll do: Set up and maintain jobs in Roofr (BOLD's CRM and estimating tool) Organize project photos in CompanyCam and keep them tied to the correct job Keep Google Drive clean: name folders consistently, file estimates, supplements, and documents where they belong Track insurance claims across multiple carriers (State Farm, Allstate, Farmers, and others): log adjuster correspondence, watch outstanding supplements and payments, flag anything that's stalled Draft customer project update messages and routine follow-ups for the owner's review Coordinate scheduling and calendar items Support materials order tracking and reconciliation General back-office data entry and CRM hygiene Tools you'll use: Roofr CompanyCam Google Workspace (Drive, Gmail, Calendar) Insurance carrier portals and email Xactimate familiarity is a strong plus, not required Who BOLD is looking for: Experience supporting a roofing, restoration, or insurance-claims business (strongly preferred) Picks up new software fast and works independently Clear, professional written English; you'll be drafting messages that homeowners and adjusters read Organized by nature; you notice the missing line item, the stale claim, the mislabeled folder Reliable and consistent week to week Overlaps with U.S. Central time during business hours How the role works: Customer-facing and carrier-facing messages get drafted for the owner's approval before they go out, especially early on. As trust builds, more runs on its own. This is a long-term seat, not a one-off project. BOLD wants to build a real working relationship.
