Virtual Assistant for Attorney- Day Availability required

Small litigation law firm seeks a reliable Administrative Assistant to support daily firm operations, client communications, file management, scheduling, billing, and matter tracking. This is not a passive receptionist role. We need someone organized, responsive, careful with details, and able to follow through without constant reminders. **Responsibilities include:** Manage the attorney’s calendar, appointments, deadlines, reminders, and follow-ups. Respond to client calls, emails, and messages professionally and promptly. Open and organize client files in Microsoft 365, SharePoint, OneDrive, and the firm’s case management system. Track new client inquiries, pending matters, signed documents, missing information, and next steps. Prepare engagement letters, routine correspondence, invoices, payment links, and basic administrative documents. Save, name, and organize documents correctly. Follow up with clients for signatures, payments, documents, and missing information. Update task lists, matter statuses, and internal trackers daily on Microsoft Lists and Practice Panther. Assist with billing, collections, client balances, and payment reminders. Coordinate with attorneys, paralegals, vendors, and clients. Maintain confidentiality and handle sensitive information professionally. Complete assigned work during scheduled hours and accurately track time. Flag problems early instead of letting tasks sit unresolved. **Required qualifications:** Strong written and verbal communication skills. Excellent organization and follow-through. Comfortable using Microsoft Outlook, Word, Excel, OneDrive, SharePoint, and online systems. Able to learn case management software and firm procedures quickly. Reliable, punctual, and honest with work hours. You must be available from 10 to 6pm EST Detail-oriented and able to manage multiple tasks at once. Professional with clients. Able to work independently after training. Prior law firm experience is preferred. Reliable. Organized. Fast to respond. Careful with details. Comfortable asking clear questions. Able to take ownership of tasks. Consistent with hours and deadlines.
