Executive Assistant to the Founder

I'm looking for a highly organized Executive Assistant to help me stay focused on the highest-value work inside my growing marketing agency. The primary objective of this role is simple: make sure I'm showing up to the right place, at the right time, fully prepared for the right conversation. Your day-to-day focus will be managing my inbox and calendar, coordinating client communication, and keeping priorities moving forward behind the scenes. From time to time, you'll also take ownership of special projects such as SOP creation, marketing presentations, lead list research, process documentation, and other operational initiatives. If you're someone who enjoys creating order, staying ahead of details, and making sure nothing falls through the cracks, I'd love to hear from you. Responsibilities Inbox & Communication Management (40%) - Manage and organize my inbox - Draft client and team communications for approval - Manage follow-ups and ensure conversations don't go stale - Surface priorities and urgent matters Calendar & Meeting Coordination (30%) - Manage scheduling and calendar logistics - Coordinate client meetings and internal calls - Ensure I'm prepared for upcoming meetings and commitments - Keep agendas, notes, and supporting materials organized Client Coordination (15%) - Proactively communicate with clients regarding meetings, deliverables, and updates - Help ensure clients feel informed and prepared - Track outstanding action items and next steps Special Projects (15%) - Create SOPs, templates, presentations, and internal documentation - Conduct market and lead research - Support operational initiatives as needed - Collaborate with team members to keep projects moving forward What Success Looks Like - I rarely have to think about my inbox or calendar - Clients feel informed and proactively communicated with - Meetings, deliverables, and follow-ups happen without reminders - Special projects continue moving forward without constant oversight - I have more time to focus on strategy, clients, and growth The Position - 15 to 20 hours per week to start - Remote, 8am-8pm EST hours preferred - Long-term opportunity As the agency grows, there will be opportunities to take on greater responsibility, increase hours, and potentially support additional businesses within my portfolio.
