Billing Accuracy and Collections Specialist

Billing & Revenue Operations Associate (Part-Time, Remote) We’re hiring someone to own billing accuracy, tracking, and collections across our consulting business. This role is simple in scope but critical in impact: Make sure we invoice correctly, track everything cleanly, and get paid on time. What You’ll Own Billing & Invoicing Generate and send invoices to customers Ensure invoices are accurate and aligned with project scope Track billable hours and confirm they match agreements Maintain clean, up-to-date billing records Collections & Follow-Ups (Core) Proactively follow up on outstanding invoices Manage communication with customers regarding payments Keep a clear log of: What’s been invoiced What’s been paid What’s overdue Escalate issues when needed 👉 This is the most important part of the role You are responsible for making sure money comes in Revenue Tracking & Reporting Maintain a simple dashboard or tracker of: Outstanding balances Payment timelines Monthly collections Provide weekly updates: What was collected What is at risk What needs attention Data Cleanup & Organization Clean up spreadsheets and billing records Ensure consistency across tools (e.g., HubSpot, invoices, internal trackers) Create simple systems so nothing is lost or duplicated What We’re Looking For 2–5+ years in: Billing, AR (accounts receivable), or finance ops OR operations roles with strong ownership of tracking + follow-up Detail-oriented and organized Comfortable following up with customers (this matters) Clear and professional communicator Able to work independently and stay on top of moving pieces How You Work You don’t wait to be told to follow up — you own the timeline You are comfortable being persistent but professional You care about clean data and accurate records You make it easy to understand where money stands at any time Role Details Type: Part-time (~20 hours/week) Location: Remote Timezone: Some overlap with PST preferred Compensation: $25–$45/hour depending on experience What Success Looks Like Invoices go out on time and are accurate Outstanding balances are consistently followed up Minimal revenue leakage Clean, reliable billing records You always know: What’s been invoiced What’s been paid What’s overdue How to Apply Include: A brief note on your experience with billing, invoicing, or collections An example of how you’ve tracked or improved payment processes Your availability (hours + timezone)
