About Us I’m the founder of a portfolio of businesses spanning: • SaaS and technology • Payments and fintech • Hospitality and leisure • Property and acquisitions • Physical products and manufacturing My days are fast-paced and varied. One moment we’re discussing software strategy, the next we’re renovating hotels, negotiating acquisitions, launching products, or solving operational challenges. I’m looking for someone who enjoys bringing order to chaos and wants to become a trusted right-hand partner over many years. This isn’t a traditional virtual assistant role. I’m looking for someone who can help me reclaim time, improve organisation, and eventually own large areas of responsibility. ⸻ The Role Initially, you’ll help coordinate projects and keep things moving. Over time, you’ll become deeply involved in operations across multiple companies and act as an extension of the founder. The ideal candidate is proactive and comfortable saying: “I’ve got this.” ⸻ Responsibilities Project Management • Maintain and organise Asana projects. • Create tasks from meetings and conversations. • Follow up with team members. • Ensure deadlines are met. • Identify bottlenecks and blockers. • Maintain project documentation. ⸻ Founder Support • Help prioritise tasks. • Keep track of commitments and ideas. • Organise weekly priorities. • Prepare agendas for meetings. • Capture action items and follow through. • Hold the founder accountable. ⸻ Research and Execution Research and coordinate: • Suppliers • Contractors • Software tools • Property opportunities • Travel arrangements • Hotels and flights • Equipment purchases • Membership platforms • Competitors • Events and conferences ⸻ Operations Assist with: • SOP creation • Documentation • Process improvement • Team coordination • Quote gathering • Vendor management • Filing and organisation • Building systems ⸻ Personal Administration Eventually, this role may include: • Vehicle servicing reminders • Home projects • Holiday planning • Family events • Birthday gifts • Bookings • Membership renewals • Insurance administration ⸻ Technology Stack Experience with some of the following is preferred: Project Management • Asana • ClickUp • Monday.com Communication • Slack • Gmail • Google Calendar • Zoom Documentation • Google Docs • Google Sheets • Notion AI Tools • ChatGPT • Claude • Perplexity Video Communication • Loom ⸻ Who You Are You: • Have supported founders, CEOs or business owners before. • Are highly organised. • Enjoy solving problems. • Can manage multiple projects simultaneously. • Are proactive and self-directed. • Communicate clearly. • Are calm under pressure. • Have excellent written English. • Think in systems and processes. • Don’t wait to be told what to do. ⸻ Nice to Have Experience in: • SaaS • Hospitality • Property • Operations management • EOS • Chief of Staff roles • Remote teams • Acquisitions and due diligence ⸻ Success in This Role Looks Like Month 1 • Learn the businesses. • Build Asana structure. • Begin taking over administrative tasks. • Establish weekly meeting rhythm. ⸻ Month 3 • Running weekly reviews. • Coordinating projects independently. • Following up with team members. • Reducing founder workload significantly. ⸻ Month 6 • Acting as the founder’s right hand. • Owning projects. • Anticipating problems. • Improving systems without being asked. ⸻ Year 1 The founder regularly says: “I haven’t thought about that in months because you handle it.” ⸻ Compensation Open based on experience. This role will start part-time and has the potential to become a long-term full-time position.
