Summary

Overview I own multiple companies in the construction, real estate, development, mortgage, title, and investment industries. I recently migrated from Microsoft Outlook to Google Workspace (Gmail) because I wanted to reduce costs associated with maintaining multiple email inboxes and domains. Unfortunately, the transition has created significant workflow challenges. I am looking for a highly experienced Gmail and Outlook expert who understands advanced email systems, Google Workspace, Microsoft Outlook, aliases, multiple domains, inbox organization, filtering, automation, and productivity optimization. My goal is simple: I want the functionality, organization, and workflow of Outlook while continuing to leverage my Google Workspace account and multiple email aliases without paying for separate inboxes for every domain. Current Challenges Multiple email aliases across several domains High volume of incoming email Excessive junk and marketing emails Difficulty organizing conversations Gmail workflow feels inefficient compared to Outlook Email overload causing lost productivity Need better visibility into important emails Need a cleaner and more structured email management system Project Objectives The right candidate will: Email Architecture Review Audit current Google Workspace setup Review all domains and aliases Review forwarding and routing configurations Identify inefficiencies and opportunities for improvement Outlook Integration Configure Outlook to properly work with Google Workspace Ensure all aliases function correctly Configure sending from multiple domains and aliases Optimize synchronization and folder structure Inbox Organization Create an organized email management system Configure categories, labels, folders, and workflows Create rules and automations Reduce inbox clutter Improve visibility of priority emails Email Productivity Optimization Build workflows for multiple businesses Organize emails by company, department, and function Create executive-level email management systems Configure templates, signatures, and automation where appropriate Spam & Junk Reduction Audit current spam handling Create filtering rules Improve inbox quality Reduce unnecessary distractions Required Experience Applicants must have demonstrated experience with: Google Workspace Administration Gmail Advanced Configuration Microsoft Outlook Email Routing Email Aliases Multiple Domains SPF Records DKIM Configuration DMARC Records Email Deliverability Outlook and Google Workspace Integration Executive Email Management Systems Preferred Qualifications Experience supporting: Business owners CEOs Construction companies Real estate companies Mortgage companies High-volume email environments What Success Looks Like When this project is complete: I can manage all emails efficiently from Outlook. My aliases function properly. I can send and receive from multiple domains without maintaining multiple paid inboxes. My inbox is organized and easy to manage. Important emails are immediately visible. Junk and low-priority emails are filtered appropriately. My daily email workload is significantly reduced.
