ClickUp Workflow & Automation Specialist (with Zapier / Integration Experience)

We're a multi-site car wash company building out a structured operations and HR management system in ClickUp, backed by Google Drive as our single source of truth. The architecture, workflows, and business logic are already designed. We need a specialist to build and automate against those specs — not to redesign them. This is a hands-on execution role. You'll take documented workflows and turn them into working ClickUp forms, automations, and cross-tool integrations, with light check-ins along the way. SCOPE AT A GLANCE ~ 34 documented HR workflows (intake, onboarding, change requests, compliance, and more). Many are variations on a shared structure — you build the core pattern once, then configure and adjust it for the rest, so this is far less than 34 builds from scratch. - The ClickUp foundation (statuses, fields, permissions) is already in place. This engagement covers forms, automations, and integrations on top of it. - Integrations: ClickUp to Google Drive, form intake, and possibly a payroll/HRIS platform. - Phased engagement: Phase 1 builds the core forms/automation engine, the integrations, and a first batch of workflows (biddable now). Phase 2 continues at a per-workflow rate as the remaining workflows are finalized over the coming weeks. WHAT YOU'LL DO - Build out ClickUp forms, automations, statuses, and custom fields from existing workflow documentation - Own outside-tool integrations: connect ClickUp to other systems (Google Drive, forms, HR/payroll tools) using Zapier or equivalent (Make, native integrations, APIs) - Design the technical plumbing — trigger order, data mapping, error handling, failed-sync behavior — and recommend the cleanest approach - Test thoroughly in a sandbox before anything touches live data - Document what you build so it's maintainable after the engagement HOW WE'LL WORK TOGETHER - You execute, we give feedback. Workflows and requirements are defined up front. You implement; we review at milestones. - You have latitude on the technical "how." Anything that touches data flow between systems gets reviewed and approved before going live. - Expect tight specs and quick turnaround on questions — we move fast. MUST-HAVE SKILLS - Demonstrated ClickUp build experience (automations, forms, custom fields, permissions/roles) — please link examples - Zapier / Make / integration platform experience moving data between tools; comfort with APIs and webhooks - Strong grasp of data mapping and automation error handling - Clear written communication and self-documentation NICE TO HAVE - Experience with HR / operations workflows - Familiarity with Google Workspace and HRIS/payroll platforms (e.g., Paylocity) - Experience supporting a system through multi-site scaling ACCESS & SECURITY (PLEASE READ) We take data access seriously. The build will be done in a sandbox/test workspace using dummy data. You will not receive standing access to live HR or payroll records during the build — access to anything sensitive is granted on a least-privilege basis only after the relevant work is reviewed. Comfort working within these constraints is required. TO APPLY 1. Share 1-2 examples of ClickUp automations or cross-tool integrations you've built (what the problem was, how you solved it). 2. Briefly describe how you'd handle a Zap that fails midway through syncing data between two tools. 3. Submit your proposed price as a milestone breakdown (e.g., trial task, forms, automations, integrations) so we can see how you'd scope the work. 4. Tell us your availability over the next few weeks.
