Summary

Workflow Automation – Brief for Quoting Context: Small-medium Australian real estate agency. Looking to automate a admin-heavy workflow. Want a rough quote (time + cost) based on the scope below so I can plan a project budget. Happy to discuss in more detail once scope is confirmed. What happens today: When a property listing is taken on, the team fills out an online form (currently in Monday.com) capturing property and client details. From there, admin staff manually create three documents and send them out: A statutory agency agreement / listing form (state-specific real estate form — fixed template, fields filled in manually) A contract of sale (templated document, fields filled in manually) An internal marketing cost invoice (templated document) Once complete, these are sent for e-signature via DocuSign, then emailed to the relevant client and/or agent. What we want instead: When the Monday.com form is submitted, the three documents are auto-populated from that data, an envelope is automatically created in DocuSign for signature, and the signed/sent documents are routed to the right people automatically (or with one manual approval click). Known tools in the current stack: Monday.com (forms/data capture) — has a public API DocuSign (e-signature) — has a public API Document templates are currently Word/PDF (exact format TBC) A third proprietary CRM system may also be involved — API access to this system is unconfirmed at this stage (could range from full API to export-only to no access at all) Estimated volume: roughly 10–20 of these per month (to be confirmed) Please quote separately for: Workflow 1 assuming only Monday.com + DocuSign + document templating (no CRM integration required) Workflow 1 if a third CRM system also needs to be read from/written to via API (assume moderate complexity — happy to discuss once known) Ongoing maintenance/support cost (e.g. monthly retainer or hourly, for fixes if a form field changes etc.)
