Build HIPAA-Conscious AI Fax OCR Workflow for Medical Practice Using eClinicalWorks

The goal is to create a system that can monitor a fax folder or fax-to-email mailbox, OCR the PDF, extract key information, classify the document type, rename the file, and route it to the correct review folder. Required workflow: 1. Monitor incoming fax PDFs from a network folder or Microsoft 365 mailbox. 2. OCR each PDF. 3. Extract patient first name, last name, DOB, document type, sender/facility, and possible urgency. 4. Classify documents such as lab results, hospital discharge summaries, referrals, imaging, home health orders, medication requests, prior authorizations, etc. 5. Rename the file using a standard naming format. 6. Route files to folders such as Matched, Needs Review, Urgent, Failed OCR, and Archived. 7. Create a simple review log in Excel, SharePoint List, or SQL. 8. No automatic upload into eClinicalWorks in Phase 1. Staff will verify before attaching to the patient chart. Important: - Must understand HIPAA and PHI handling. - Must be willing to sign a BAA or work under a compliant environment. - No PHI should be stored in non-approved systems. - Experience with healthcare, OCR, Microsoft Power Automate, Azure Document Intelligence, Python, or eClinicalWorks is preferred.
