# Executive Assistant to Founder & CEO **Location:** Remote (Philippines preferred) **Hours:** Part-Time (20–30 hours per week) **Working Hours:** Sydney (AEST/AEDT) business hours preferred ## About the Role We are seeking a highly organised, detail-oriented Executive Assistant to work directly with the Founder & CEO across a range of business, research, administrative, and project coordination activities. This is a hands-on role for someone who enjoys bringing structure to complex information, managing priorities, conducting research, preparing professional documents, and helping keep projects moving forward. The ideal candidate is proactive, resourceful, comfortable working independently, and confident using modern AI tools to improve productivity and efficiency. Applicants with experience working in a legal environment, legal department, professional services firm, or supporting senior executives will be highly regarded. ## Key Responsibilities * Executive support to the Founder & CEO * Research and information gathering on business, legal, commercial, and operational matters * Drafting, reviewing, formatting, and proofreading documents * Organising files, records, reports, and correspondence * Managing email communications and follow-ups * Coordinating projects, tasks, and action items * Preparing summaries, meeting notes, and briefing materials * Maintaining timelines, trackers, and document management systems * General administration and operational support ## Requirements * Excellent written and spoken English * Strong attention to detail and organisational skills * Ability to analyse information and prepare clear summaries * Professional and trustworthy with confidential information * Strong proficiency with Google Workspace (Docs, Sheets, Drive, Gmail) * Ability to work independently and manage multiple priorities * Strong problem-solving and research skills ## Technology Skills Experience with the following tools will be highly regarded: * ChatGPT * Claude * LM Notebook (NotebookLM) * Google Workspace * Airtable * Notion * Document management systems * AI-assisted research and productivity workflows ## Highly Valued Experience * Executive Assistant, Operations Assistant, or Chief of Staff support experience * Experience working in a legal practice, legal department, litigation support, or professional services environment * Exposure to Australian business operations * Experience reviewing contracts, legal documents, reports, or complex documentation * Banking, finance, insolvency, property, or commercial dispute experience * Project coordination and process improvement experience ## Personal Attributes * Highly organised and structured * Proactive and self-motivated * Curious and willing to learn * Strong critical thinking skills * Reliable and responsive * Comfortable working directly with a Founder who manages multiple business and strategic projects This is a long-term opportunity for someone who enjoys variety, takes ownership of their work, and wants to become a trusted right-hand support person to an experienced entrepreneur and business owner.
