Payroll & Accounting Specialist – Job Description Position Overview The Payroll & Accounting Specialist is responsible for managing accurate payroll processing and supporting the organization’s financial operations through strong accounting practices. This role ensures compliance with federal and state regulations, maintains organized financial records, and provides timely reporting to leadership. The ideal candidate is detail oriented, analytical, and able to manage sensitive information with professionalism and confidentiality. Key Responsibilities Payroll Management • Process semi monthly or bi weekly payroll for salaried and hourly employees • Review and validate timesheets, PTO, overtime, bonuses, and adjustments • Maintain employee payroll records, tax forms, deductions, garnishments, and direct deposit information • Ensure compliance with FLSA, IRS regulations, and multi state payroll requirements • Reconcile payroll reports and prepare payroll journal entries • Respond to employee payroll inquiries with accuracy and professionalism • Support onboarding and offboarding (new hire setup, final pay, documentation) Accounting Operations • Perform full cycle accounts payable and accounts receivable • Prepare and maintain invoices, receipts, statements, and financial documentation • Conduct bank, credit card, and account reconciliations • Maintain accurate general ledger entries and coding • Assist with month end and year end closing processes • Prepare financial reports (P&L, balance sheet, cash flow, aging reports) • Support internal and external audits with required documentation • Track vendor accounts, client payments, and outstanding balances Cross Functional Support • Collaborate with HR on payroll related accounting entries • Maintain organized, audit ready financial and payroll files • Identify opportunities to streamline payroll and accounting workflows • Uphold strict confidentiality of employee and financial information
