Summary

We are seeking an experienced Asana Subject Matter Expert (SME) to support the design, configuration, implementation, and optimization of project management solutions for our clients. This is a professional who possesses deep expertise in Asana, project management best practices, workflow automation, and organizational process improvement. The Asana SME will work collaboratively with company leadership, project teams, and client stakeholders to assess business requirements, design scalable project management frameworks, configure Asana environments, and provide strategic guidance on how organizations can leverage Asana to improve operational efficiency, collaboration, accountability, and project visibility. The ideal candidate will have demonstrated experience implementing Asana across a variety of organizational environments, hold relevant Asana certifications and credentials, and possess the ability to translate business objectives into effective project management solutions. Key Responsibilities Conduct discovery sessions, stakeholder interviews, and workflow assessments to identify opportunities for process improvement. Analyze existing project management methodologies, tools, and collaboration practices. Recommend solutions that align with client objectives, team structures, and operational needs. Asana Solution Design and Implementation Design and build customized Asana workspaces, projects, portfolios, goals, dashboards, and reporting structures. Develop scalable project management frameworks that support program management, project execution, resource planning, and performance tracking. Configure custom fields, templates, workflows, forms, rules, and automation to streamline business processes. Implement governance standards, naming conventions, permissions structures, and best practices for workspace administration. Ensure solutions are user-friendly, sustainable, and aligned with industry standards. Workflow Optimization and Process Improvement Evaluate and redesign workflows to improve efficiency, accountability, and project visibility. Identify opportunities to automate repetitive tasks and reduce administrative burden. Develop standardized project templates and operating procedures that improve consistency across teams. Recommend enhancements that increase productivity, collaboration, and project success rates. Integration and Technical Support Advise clients on integrating Asana with other business applications and collaboration platforms. Support integrations with tools such as Microsoft 365, Google Workspace, Slack, Teams, CRM systems, and other project management or productivity platforms. Troubleshoot system configuration issues and provide technical guidance related to Asana functionality. Evaluate new Asana features and recommend implementation strategies when appropriate. Training and User Adoption Develop and deliver training sessions for end users, project managers, team leads, and executives. Create user guides, standard operating procedures, training materials, and reference documentation. Provide coaching and ongoing support to improve user adoption and maximize platform utilization. Serve as a trusted advisor to clients regarding project management best practices and Asana capabilities. Reporting and Executive Dashboards Design dashboards and reporting frameworks that provide meaningful insights into project performance, resource utilization, milestones, risks, and organizational goals. Create portfolio-level views and executive reporting tools to support leadership decision-making. Develop metrics and key performance indicators (KPIs) that align with client objectives. Ensure reporting structures provide accurate, actionable, and timely information. Strategic Project Management Advisory Services Provide expert guidance on project management methodologies, including Agile, Waterfall, Hybrid, and Lean approaches. Assist clients in establishing project governance frameworks and operational standards. Recommend organizational structures and project management practices that support growth and scalability. Advise leadership teams on change management and successful adoption of project management technologies. Documentation and Knowledge Transfer Document system configurations, workflow designs, governance standards, and implementation decisions. Develop transition plans and knowledge transfer materials to ensure long-term sustainability of implemented solutions. Maintain detailed records of client requirements, recommendations, and project deliverables. Required Qualifications Demonstrated expertise in Asana administration, implementation, and optimization. Current Asana certifications, partner credentials, or equivalent professional qualifications preferred. Proven experience designing and implementing project management solutions for organizations of varying sizes and complexity. Strong understanding of project management principles, methodologies, and best practices. Experience configuring workflows, automations, dashboards, forms, portfolios, and reporting within Asana. Excellent analytical, problem-solving, communication, and client-facing consulting skills. Ability to translate complex business requirements into practical technology solutions. Experience delivering training and facilitating stakeholder workshops. Preferred Qualifications Project Management Professional (PMP), Certified Scrum Master (CSM), Agile certifications, or related project management credentials. Experience supporting government, nonprofit, professional services, technology, or consulting organizations. Knowledge of business process improvement methodologies and organizational change management practices. Experience with workflow automation and integration platforms such as Zapier, Power Automate, Make, or similar tools. Success Measures Success in this role will be measured by the successful implementation of Asana solutions, client satisfaction, improved workflow efficiency, increased user adoption, achievement of project objectives, quality of documentation and training deliverables, and the overall value delivered to client organizations through effective project management practices and technology solutions.
