Operations & Automation Manager About Us We're building a modern, technology-enabled marketing company focused exclusively on the self-storage industry. Our goal is not simply to deliver services. We're building systems, processes, and software that allow us to serve operators more efficiently and effectively than traditional agencies. Position Overview We're looking for an Operations & Automation Manager to help us scale our business by improving systems, processes, reporting, and automation across the organization. This role will work across multiple departments, including SEO, PPC, Client Success, Sales, and Operations. Your primary responsibility is identifying inefficiencies, improving workflows, implementing automation, and helping our team accomplish more with less manual work. You will not be responsible for client strategy or service delivery. Instead, you'll focus on making our people and systems more effective. If you enjoy solving operational problems, building systems, creating automations, and improving business processes, this role may be a great fit. Key Responsibilities Process Improvement * Analyze current workflows and identify bottlenecks * Improve operational efficiency across teams * Document and maintain SOPs * Create scalable processes for growing client volume * Design systems that reduce manual work and increase consistency Automation & Systems * Build and maintain automations using tools such as Zapier, Make, HubSpot, ChatGPT, Google Workspace, and other platforms * Automate repetitive reporting and administrative tasks * Improve onboarding and project setup workflows * Develop internal dashboards and reporting systems * Create AI-assisted workflows for internal teams SEO Operations Support * Improve SEO production workflows * Streamline recurring tasks and quality assurance processes * Build systems that support multi-location SEO campaigns * Assist with reporting and monitoring automation PPC Operations Support * Create reporting and performance monitoring automations * Improve campaign management workflows * Build alert systems and operational dashboards Client Success & Operations Support * Improve client onboarding systems * Automate recurring client communication workflows * Create account health and retention reporting * Improve project management and team coordination systems Data & Reporting * Build and maintain KPI dashboards * Improve operational visibility across the business * Create reporting systems for leadership and department managers * Support forecasting and capacity planning initiatives Qualifications Required * Strong problem-solving and systems thinking skills * Experience building business process automations * Experience with project management systems * Strong documentation and SOP creation skills * Ability to work independently and identify improvement opportunities * Excellent organizational and communication skills Preferred * Experience with Zapier, Make, HubSpot, or similar platforms * Experience with Google Sheets, Looker Studio, and reporting tools * Experience working within marketing agencies or service businesses * Familiarity with AI tools and workflow automation * Basic understanding of SEO, PPC, and digital marketing operations Success Metrics Success in this role will be measured by: * Hours of manual work eliminated * Operational efficiency improvements * Reduction in production bottlenecks * Automation adoption across teams * Documentation and process completion * Improved reporting visibility and accuracy * Team productivity improvements What Success Looks Like After 12 Months * Major operational workflows documented and standardized * Key onboarding and reporting processes automated * Team members spend less time on repetitive administrative work * Leadership has clear visibility into performance metrics * Multiple departments operate more efficiently through improved systems and automation * The business can scale client volume without proportional increases in headcount Why This Role Matters Our vision is to build a scalable platform that combines services, software, automation, and industry expertise.
