Upwork's Freelancer Payment Protection: Safeguard Your Earnings
Learn how Upwork's freelancer payment protection works for hourly and fixed-price contracts, including what's covered and how to stay protected.

Freelancers choose Upwork to find work and protect their earnings. Our payment protection covers both hourly and fixed-priced freelancing contracts, but does require that your contract meets Upwork’s Terms of Service and that you follow a few simple steps. But by adhering to our no-nonsense processes, you can focus on delivering great results knowing your earnings are protected.
In this article, we’ll walk through how freelancer payment protection works and what you can do to make sure your contracts and work qualify for coverage.
Hourly Payment Protection: How it works
Working an hourly contract allows you to track the time you spend on specific tasks. The hourly rate is agreed upon with the client before the contract begins, so expectations are clear from the start. You’re paid for the time you work instead of specific deliverables, making this type of contract a good fit for ongoing or flexible projects.
When working on an hourly contract, you’ll need to log your hours using the time tracker in the Upwork desktop app. Describe what you’re working on by adding a Memo and selecting an Activity tag (if the client provides one). As you work, the time tracker will take random screenshots and monitor your activity (keystrokes, mouse selects, scrolls, and active application/window name). The time you log is recorded in your work diary, and clients are automatically invoiced on a weekly basis.
Meeting hourly protection requirements
Before you start working, check the following list to help ensure you’re covered by Hourly Payment Protection:
☑️ Active hourly contract. You’re working under an hourly contract with your client.
☑️ Verified identity. You’ve completed ID verification and have a valid Upwork ID badge.
☑️ Verified client payment method. Your client’s billing method is verified by Upwork.
☑️ Account in good standing. Your Upwork account remains active and compliant with the Terms of Service.
☑️ Accurate time tracking. You log your hours using the Upwork desktop app.
☑️ Detailed work diary. Each time segment includes a clear memo and the correct activity label.
☑️ Consistent activity. You maintain steady work activity within your weekly hour limit.
Keep in mind that Hourly Payment Protection only applies to time tracked with the Upwork desktop app, not to manual time entries. It also doesn’t cover time that fails to reach adequate-to-fair activity levels, or time that exceeds the weekly limit for that contract.
How eligible work is protected
When working on an hourly contract, you and the client can negotiate an hourly limit, which the client will set. This is how many hours you can invoice each week for that contract. As you work during the week, log your hours using the Upwork time tracker. Your client will be automatically invoiced for the hours you’ve logged for the week each Monday, and they’ll have until Friday to review it. The funds are released to you by the following Wednesday.
As long as your hours meet the Hourly Payment Protection criteria, you will be paid for the time that you invoice.
"Anything taken off of Upwork can be denied, but if you keep communications on the platform, you have that documentation and support from Upwork. You can be upfront with the clients and say, 'If you would like me to do additional xyz, we can renegotiate the contract, or we can open up a separate contract.'"

Time segments in your work diary aren’t covered if they’re:
- Added manually
- Idle or empty
- Logged over your weekly limit
- Showing non-work-related activity
- Missing memos or containing vague descriptions
Payments outside of qualifying hours also aren’t protected, including:
- Manual payments such as milestones, bonuses, or one-time payments
- Advanced recurring payments not based on hours billed
- Payments from clients without verified billing methods
- Contracts or freelancers found in violation of Upwork’s Terms of Service
- Situations where you’re aware of or involved in another user’s Terms of Service violation
- Any fraudulent activity
- Misuse or abuse of the Hourly Payment Protection program
What happens if a client disputes hours?
To dispute hours, a client needs to follow a simple, but multi-step, process.
While Upwork automatically invoices clients for the hours that you log each week that fall within the contract limit, clients can file a dispute within five days after the billing period has closed.
If a client files a dispute on your hours, Upwork will pause the contract and set the hourly limit to zero. You’ll have three days to decline or accept the dispute. Always respond to a dispute if possible.
When you decline a dispute, Upwork reviews your work diary and evaluates the disputed hours against the Hourly Payment Protection criteria within one business day. If all the hours meet those criteria, you’ll be paid through the normal billing cycle. Any hours that don’t qualify will be refunded to your client.
If you accept a dispute, all disputed hours are automatically refunded to the client.
Avoid common mistakes with hourly contracts
Your hourly contracts are only protected if they meet the Hourly Payment Protection criteria. Any hours that don’t comply may be refunded to your client during a dispute. Keeping a few best practices in mind can help you stay protected and maintain a strong working relationship with your clients.
- Don’t rely on manual time for billable hours. Manual time isn’t covered under Hourly Payment Protection. Always log your hours through the Upwork desktop app so your work is verified.
- Keep memos clear and current. Use specific memos that describe what you’re working on. Update them regularly so your work diary accurately reflects your activity.
- Stay within the scope of your contract. Focus your logged time on approved tasks and wait for client confirmation before taking on additional work. Your contract’s to-do list is a helpful way to track what’s been agreed on and keep both sides aligned.
- Stay focused while tracking time. Hourly Payment Protection requires steady, meaningful activity. Avoid logging idle time or multitasking on unrelated work to keep your work diary accurate.
- Review your work diary weekly. Double-check that your hours, memos, and activity levels are correct before the billing period closes to prevent disputes later.
- Confirm changes in writing. If your client adds new tasks or adjusts deadlines, confirm updates in your Upwork messages or contract to-do list before logging time.
- Keep an eye on your weekly limit. Once your hours exceed the contract’s weekly hourly limit, any additional time won’t be protected under Hourly Payment Protection.
- Communicate often. Regular check-ins help you stay aligned on priorities, reduce misunderstandings, and build long-term trust with your clients.
Fixed-priced payment protection
Fixed-price contracts are helpful for clearly defined projects that can be broken up into individual deliverables (milestones), each with its own budget and deadline. Clients know exactly what their project will cost, and freelancers can complete work on their own schedule. For fixed-priced contracts, clients pre-fund each milestone.
Always wait until a milestone is funded by the client before you start. Milestones that haven’t been funded yet are not covered by fixed-price protection. When working on a fixed-price contract, you can suggest new milestones or propose milestone changes as needed.
Pre-funded fixed-priced milestones
Clients pay fixed-priced milestones in advance, and Upwork holds the payment as a deposit until the work is approved. You can share work files through Upwork’s collaboration tools or any third-party platform you and your client agree to use. However, milestone submissions must be sent through Upwork to be eligible for Payment Protection. Follow these steps to submit your work:
- Open your active contracts. Go to your list of active contracts and select the one you’re submitting work for.
- Add a message to your client. Write a short note describing the work you’ve completed. Clear communication helps your client review and approve your submission faster.
- Attach your work or include a link. While not required, providing your deliverable or a link to it makes it easier for your client to review what you’ve completed.
- Click “Submit.” Once you submit your milestone, your client will be notified automatically. You’ll also receive a notification when they approve payment or request changes.
After submitting your work through Upwork, clients have 14 days to approve the deliverable or request any changes. If the client doesn’t take any action, after 14 days, the funds are automatically released to you after a 5-day security hold.
What’s covered
Milestones that are funded in advance by clients with verified payment methods are protected under Upwork’s fixed-price protection. Once a milestone is funded, you can get to work knowing payment is ready when the client approves your submission. Your contract lists each milestone, including its budget and deadline, so expectations are clear from the start.
If a client requests a refund for a milestone that you’ve completed, you can file a dispute. The disputed funds will be held by Upwork until a resolution is reached.
What’s not covered
Upwork fixed-price protection covers all funds that have been deposited for your milestones. However, there are a few situations that fall outside of protection:
- Unfunded amounts. Payments that exceed the amount your client has deposited for a milestone.
- Unverified billing methods. Payments from clients who haven’t verified their billing method.
- Unofficial agreements. Any extra payments discussed or promised outside the original contract.

FAQs
In the following section, we answer some of the most frequently asked questions.
What does Upwork’s payment protection cover?
Upwork’s freelancer payment protection covers hourly work that’s logged using the Upwork desktop app with proper activity and memos, as well as pre-funded fixed-price milestones submitted through the platform.
Am I protected if I add manual time?
No, manual time isn’t covered under Upwork’s Hourly Payment Protection. Freelancers must track all time using the Upwork desktop app and meet the activity and memo requirements to qualify.
Can I start fixed-price work before the milestone is funded?
Work is only protected if the milestone is funded before you begin. Always check that your milestone status is “Active & Funded” before starting work.
What should I do if I believe I’m eligible for payment protection but didn’t receive it?
If you think your work qualifies for protection but payment wasn’t received, contact Upwork Support. Include your contract ID, the dates and hours or milestones in question, and a short explanation. Our team will review your case and follow up with next steps.
Does Upwork protect work done outside of the platform?
No, only work and communication that takes place through Upwork are eligible for payment protection. Keeping all work and messages on the platform ensures your contracts, submissions, and payments are properly documented and protected.
If you want to work with a client who hasn’t joined Upwork yet, you can set up a Direct Contract and keep your payments protected.
What counts as “meaningful activity” for hourly protection?
Meaningful activity includes consistent mouse movement, keyboard usage, and engagement with relevant applications or documents. Idle time, low activity, or unrelated work may not be covered, even if it’s tracked.
Do I need to write a memo for every time block?
Yes. Each time block must include a clear, accurate memo that describes what you were working on. Memos don’t need to be long, just specific enough to show how the time relates to your client’s project.
Can I submit work by email or chat and still be protected?
No, to stay covered, you must submit work through Upwork using the “Submit Work for Payment” button. Work shared only by email, chat, or third-party platforms isn’t eligible for payment protection.
What happens if a client disappears or stops responding?
If your hourly time meets protection requirements, or if your fixed-price milestone was funded and submitted properly, Upwork’s payment protection may still apply. Contact support if you have an unresponsive client, so the team can help review your case.
How long does the review process take if there’s an issue with payment?
Review times can vary depending on the situation. Upwork typically resolves Hourly Payment Protection claims within a few business days. Fixed-price disputes may take longer, depending on how quickly both parties respond during mediation or, if needed, arbitration. You’ll receive updates as your case moves through each stage of the review process.
Does payment protection apply to bonuses or tips?
No, bonuses and tips are considered discretionary payments from clients and are not covered under Upwork’s payment protection policies.
