ABOUT MODERN ROMANCE PROPOSALS Modern Romance Proposals (MRP) is a boutique luxury proposal planning business based in Perth, Western Australia. We design and execute unforgettable, bespoke proposal experiences for clients across Australia and internationally. We are a small, high-performing team. Every client interaction is an extension of our brand and our standard is exceptional. We are growing, our enquiry volume is increasing, and we are now building the right team to match that growth. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━ THE ROLE This is not a standard VA role. We are looking for an MRP Admin and Sales Coordinator who will own the MRP client pipeline from the first point of contact through to a fully converted client. You will be the first voice a prospective client hears from, and in many cases, the reason they book. This role combines inbox management, lead tracking, client communication, and active sales. You will work independently within clear systems and processes, represent the MRP brand with warmth and professionalism, and grow into greater responsibility over time. WHAT YOU WILL DO INBOX AND LEAD MANAGEMENT Monitor the MRP inbox three times daily at 9:00 AM, 12:00 PM, and 4:30 PM Perth time (AWST), Monday to Friday Respond to all new enquiries promptly, warmly, and on-brand Send the MRP service guide to every new enquiry and follow up to confirm receipt Log every lead into our Google Sheets tracking system and Studio Ninja CRM immediately upon receipt Track each lead through the sales pipeline and update their stage in real time Ensure nothing sits unanswered. Ever. SALES AND CLIENT CONVERSION Actively nurture leads from first enquiry through to a confirmed booking A converted client means: deposit paid, contract signed, and questionnaire completed — all three, not one or two In your first three months, flag any quote or booking confirmation to the business owner before sending After three months, based on performance, you will take on full conversion responsibility independently Communicate with prospective clients in a way that builds trust, excitement, and genuine confidence in our brand VENDOR AND SUPPLIER RESEARCH Research and document Perth-based wedding and event vendors and suppliers Maintain an organised supplier database in Google Sheets and Google Drive Support outreach efforts by building and updating prospect lists as directed SALES OUTREACH SUPPORT Assist with outbound sales outreach for MRP as directed by the business owner Research potential corporate and individual clients and compile contact information Draft outreach emails and follow-up sequences for review WHAT A SUCCESSFUL DAY LOOKS LIKE You check in at 9:00 AM. There are two new enquiries. You respond to both within the hour, send the service guide, log both leads in Google Sheets and Studio Ninja, and flag one as a high-priority warm lead. At midday you check in again. One of this morning's leads has replied. You move them to the next pipeline stage, answer their questions, and update the tracker. At 4:30 PM you do a final check. The inbox is clean. All leads are logged, staged, and actioned. Nothing is sitting unanswered. You close the day with a brief summary note to the business owner on any priority leads. That is what we are looking for, every single day. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━ WHAT WE NEED FROM YOU Fluent, conversational written English — this is non-negotiable Availability at all three daily check-in times, Monday to Friday, Perth time (AWST) Meticulous organisation and zero tolerance for things slipping through the cracks Confidence working inside Google Workspace: Gmail, Google Sheets, Google Drive, Google Docs Experience using a CRM or lead tracking system (Studio Ninja experience is a bonus) A genuine understanding of luxury service standards and what premium client experience means The ability to write warmly and professionally without sounding robotic or templated Experience in events, weddings, hospitality, or luxury services is highly regarded A proactive mindset — you do not wait to be told. You see what needs to be done and you do it. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━ TOOLS YOU WILL WORK IN Gmail and the MRP dedicated inbox Studio Ninja (CRM) Google Sheets (lead tracking and supplier database) Google Drive (document management and filing) Google Docs (correspondence drafting and documentation) Phone and text communication will be introduced after your initial onboarding period. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━ HOURS AND COMMITMENT This is a part-time, ongoing remote role. You are required to check in a minimum of three times daily across five days per week, Monday to Friday, during Perth business hours. Total daily hours will vary depending on enquiry volume. Hours will be confirmed and formalised after a brief onboarding period. There is genuine scope for this role to grow alongside the business. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━ We are not looking for the most experienced applicant. We are looking for the right person.
