Why We’re Expanding Our Team Our business is growing, and we are expanding our team to ensure that air travel logistics for our clients are handled with excellence and attention to detail. This role is critical in supporting our US-based air team, working with airlines, consolidators, and clients to make travel seamless and stress-free. This position is ideal for someone who wants to take ownership of their work while contributing to the bigger picture of enabling international teams to travel for ministry, missions, and purpose. About the Role The Air Administrator serves as the operational hub for all things related to group air travel. This role requires focus, organisation, and a proactive mindset to ensure flights, contracts, and customer needs are managed effectively. Core Responsibilities (but not limited to): Air Travel Coordination: Book and manage group air travel space with consolidators (e.g., ITG) and airlines. Monitor and manage contract-critical dates to ensure all deadlines are met. Assist customers with air deviations and special requests, coordinating bookings via consolidators or booking portals. Administrative Excellence: Accurately enter group flight details (including e-tickets) into Travefy once tickets are issued. Ensure all passport details, flight dates, and contract dates are meticulously checked and recorded. Keep the Head of Operations updated on changes to group air itineraries. Flag any fare issues, deviations, or potential ticketing challenges early. Team Collaboration: Work closely with the US-based air team to ensure smooth communication and coordination. Collaborate with the Finance Team to ensure accurate and timely invoicing for all air travel bookings. Take part in training, troubleshooting, and ongoing support with the US-based air team, who will be readily available to assist with all aspects of the role. Flexibility and Remote Working: This is a remote role offering flexible hours (20–30+ hours per week), making it ideal for someone seeking work-life balance. The successful candidate will have access to the team through an online portal and will participate in scheduled in-person meetings as required and, if appropriate, as scheduled. While the role is remote, flexibility is essential, as the majority of our clients are in the US time zone. Candidates must be available to adjust their working hours as needed to ensure our US-based clients receive the best care and service. Adaptability and Willingness to Learn: Open to acquiring new skills, particularly in using air booking systems. Nice-to-Have (but not essential): Experience working with air booking systems or air consolidators is not required, but a willingness to learn these skills is essential. Familiarity with CRM systems or travel management tools. Background in scheduling or logistics coordination. Support and Collaboration You won’t be working alone in this role!
