The apartment has been fully renovated and is in final staging. I need a detail-oriented, proactive coordinator to take the property across the finish line — from listing creation and SOP documentation to launch readiness and first-booking support. This is a defined project with a hard deadline. The listing must be live and guest-ready by **mid-July 2026**, with all operational SOPs completed by the same date. There is an existing Notion-based project management system in place; you will work within it. ----- ## What You’ll Do ### Phase 1 — Pre-Launch Operations (Weeks 1–2) - Compile and organize all operational contacts: handyman, electrician, plumber, locksmith, appliance repair, cleaning/housekeeping, and building management - Confirm building access procedures and spare key availability - Confirm insurance coverage and short-term rental tax requirements - Coordinate with on-site contact to test plumbing, hot water, and all mechanical systems ### Phase 2 — Photography & Staging Prep (Weeks 2–3) - Create photography shot list for every room, building amenities, and neighborhood highlights - Coordinate and book a professional photographer in Rio de Janeiro - Oversee final staging prior to photography session - Review and select final images; deliver to editor for optimization ### Phase 3 — Listing Creation (Weeks 3–4) - Draft full Airbnb listing: title, property description, room-by-room descriptions, neighborhood description - Add all amenities to the listing - Configure house rules, occupancy limits, check-in and checkout instructions, cancellation policy, and cleaning fee - Research competing listings in Leme to benchmark positioning - Configure pricing strategy and minimum stay requirements - Set up dynamic pricing approach; prepare for final pricing approval - Configure and open availability calendar through August 31, 2026 initially - Publish listing ### Phase 4 — SOP Documentation (Weeks 3–4, parallel) Write all standard operating procedures for the property. Each SOP must be clear enough to hand to a Brazilian housekeeper or local contractor with minimal supervision. The property is owner-managed remotely, and I am looking for someone who can grow into a long-term operations partner. The extended scope would include: - **Guest communication** — handling all pre-booking inquiries, booking confirmations, check-in instructions, mid-stay support, and checkout follow-up on behalf of the owner; target response time under 1 hour during business hours - **Booking management** — monitoring the calendar, managing availability, coordinating same-day or short-turnaround bookings with the local cleaning team - **Issue resolution** — first point of contact for guest-reported problems; triaging between self-resolution, local vendor dispatch, and owner escalation - **Review management** — prompting guests to leave reviews post-stay; drafting owner responses to all reviews (positive and negative) - **Reporting** — monthly summary of occupancy, revenue, issues, and any operational flags for owner review This role would suit someone who is already managing one or more Airbnb properties remotely and has systems in place to handle guest communications reliably. Fluency in both English and Portuguese is strongly preferred for this extension, as guests may communicate in either language and coordination with local staff is in Portuguese.
