Intake Specialist Job Responsibilities: Initial consultation intake or sales representatives play a crucial role in converting inbound leads into customers. Here's a breakdown of their typical responsibilities in bullet points: Core Responsibilities: Answering inbound calls/requests: Promptly and professionally respond to incoming calls, emails, or web inquiries from potential customers. Be the initial point of contact and create a positive first impression. Qualifying leads: Gather key information to assess the lead's needs and determine if they are a good fit for the company's products or services. This often involves asking targeted questions to understand their pain points, decision-making process, and timeframe. Building rapport: Establish a friendly and trustworthy connection with the prospect. Actively listen to their needs and concerns. Demonstrate empathy and understanding. Presenting solutions: Clearly and persuasively explain how the company's offerings can address the prospect's specific needs. Tailor the presentation to highlight the value proposition and key benefits. Address any objections or concerns the prospect may have. Scheduling consultations: Book consultations or appointments for qualified leads with the appropriate sales representative or specialist. Coordinate schedules and ensure smooth handoffs. Data entry and CRM management: Accurately record lead information and interactions in our CRM systems. Maintain detailed records for tracking and follow-up purposes. Meeting performance metrics: Achieve or exceed key performance indicators (KPIs) such as conversion rates, number of qualified leads, and consultation setting targets. Continuously monitor performance and identify areas for improvement. Following up with leads: Send follow-up emails or make calls to nurture leads and maintain engagement. Remind leads of upcoming appointments or deadlines. Supporting other sales team members: Assist with administrative tasks or overflow calls as needed. Collaborate with colleagues to ensure a seamless customer experience. Systems Used: Gmail Ring Central Google Calendar Google Sheets Calendly MyCase Slack Zoom Lawmatics Customer Service: Provide excellent customer service to both English and Spanish-speaking clients. Answer phones professionally and courteously. Respond to client inquiries with accurate and relevant information. Analyze and address complaints and concerns raised by clients. Assist paralegals in calling clients for follow-up as needed. Qualifications: Must be bilingual (English/Spanish) with written and verbal proficiency At least 2 years of experience doing intake preferably in the area of Immigration Case Management software experience is a major plus Professional attitude and appearance Solid written and verbal communication skills Ability to be resourceful and proactive when issues arise Excellent organizational skills Multitasking and time-management skills, with the ability to prioritize tasks Customer service attitude Immigration Experience is a plus Skills: Excellent communication and interpersonal skills: Active listening, clear articulation, and the ability to build rapport quickly. Strong sales and persuasion techniques: Needs identification, objection handling, and closing skills. Effective time management and organizational skills: Ability to prioritize tasks, manage multiple leads, and meet deadlines. Proficiency in CRM software and data entry: Accurate record-keeping and efficient use of technology. Positive and professional attitude: Enthusiasm, resilience, and a customer-centric approach. Salary Range $8 - $10 per hour The work hours will be Monday through Friday, from 8 AM to 5 PM CST. Paid office holidays are guaranteed. This is a fully remote position so you can work anywhere.
