Summary

We are looking for an experienced bookkeeper who understands cryptocurrency bookkeeping and can review our historical business transactions from 2023 through 2025. Our books have already been reconciled by a bookkeeper. However, we recently realized that some business transactions involving stablecoins may not have been properly recorded. Our business sometimes receives client payments in USDT or USDC and also uses USDT or USDC to pay international vendors. We do not generally purchase the stablecoins directly through a cryptocurrency exchange. Instead, we may send U.S. dollars to a trusted third party, who then sends the corresponding USDT or USDC to our cold wallet. We may then send those stablecoins from our cold wallet to an international vendor as payment for legitimate business services. In some situations, the transaction may also occur in the opposite direction. We are concerned that some stablecoin income, vendor payments, transaction fees, or related business expenses may not have been included in our existing bookkeeping records. This may have caused certain legitimate business expenses to be omitted from our profit and loss statements. The goal of this project is to analyze the historical USDT and USDC activity, trace the related bank and wallet transactions, identify anything missing from the existing books, and prepare the necessary bookkeeping adjustments for review by our CPA in connection with prior-year tax filings. Scope of Work • Review USDT and USDC activity from 2023 through 2025 • Analyze stablecoin payments received from clients • Review peer-to-peer or off-exchange USDT and USDC transactions • Match U.S. dollar payments sent to third parties with the corresponding stablecoins received • Track transfers into and out of our cold wallet • Match outgoing stablecoin payments to vendors, invoices, contracts, and business expenses • Review transactions where the person receiving the bank payment may differ from the wallet sending the stablecoins • Determine the appropriate U.S. dollar value and transaction date for each entry • Account for blockchain network fees and other transaction-related fees • Identify missing, duplicated, or incorrectly recorded transactions • Reconcile the findings against our already-reconciled books • Prepare adjusting entries and supporting schedules • Create a clear audit trail using bank records, wallet addresses, transaction hashes, invoices, messages, and payment confirmations • Provide organized records that can be reviewed by our existing bookkeeper and CPA Required Experience • Professional bookkeeping experience • Experience handling business transactions involving USDT, USDC, or similar stablecoins • Experience with peer-to-peer or off-exchange crypto transactions • Familiarity with cold wallets, wallet addresses, transaction hashes, and blockchain explorers • Ability to match bank payments with stablecoins received from a separate wallet • Experience with QuickBooks Online • Knowledge of recording stablecoin income, vendor expenses, transfers, and transaction fees • Strong forensic bookkeeping and transaction-reconciliation skills • Ability to create a clear and supportable audit trail • Experience assisting with prior-year bookkeeping corrections or amended tax filings is preferred This is not a cryptocurrency trading or investment position. The activity primarily involved USDT and USDC, not Bitcoin or other volatile cryptocurrencies. We need someone focused on historical bookkeeping, transaction tracing, and properly documenting business income and vendor expenses.
