# Bookkeeper / Financial Operations Specialist (Part-Time) **Location:** Remote (Philippines Preferred) **Schedule:** Part-Time (Approximately 20 hours/week) **Compensation:** Starting at **$4-6 USD/hour** with performance-based raises and the opportunity to grow into a full-time leadership role. --- # About Solano Stays Solano Stays is a rapidly growing vacation rental management company that manages 25 short-term rental properties across multiple U.S. states. We're building much more than a property management company—we're building world-class systems, exceptional guest experiences, and a business that can scale efficiently. We're looking for someone who wants to become a long-term member of our team and help build the financial operating system that supports our continued growth. This is **not** a traditional bookkeeping position. We're looking for someone who enjoys improving systems, solving problems, and taking ownership—not someone who simply processes transactions. --- # What You'll Own ### Financial Operations * Coordinate with our external accounting firm (Keystone Accounting) * Review financial transactions for accuracy * Research and resolve discrepancies * Organize financial documentation * Support month-end accounting processes ### Invoice & Vendor Management * Collect and review vendor invoices * Submit invoices for payment * Track payment status * Communicate with vendors regarding invoices and payments * Maintain vendor records, W-9s, and payment information ### Financial Systems * Categorize transactions in Topkey * Review uncategorized transactions * Monitor approval queues * Assist with reimbursements * Maintain accurate financial records ### Owner Statement Quality Assurance * Perform first-pass reviews of monthly owner statements * Verify income and expenses * Review maintenance charges and reimbursements * Identify discrepancies * Coordinate corrections with our accounting firm * Prepare owner statements for leadership review ### Financial Systems & Continuous Improvement * Improve financial SOPs * Create documentation and training materials * Identify automation opportunities * Improve invoice workflows * Strengthen internal controls * Recommend improvements that make our financial operation more efficient and scalable --- # Who We're Looking For We're looking for someone who naturally takes ownership. You don't wait for someone to point out problems—you identify them, investigate them, recommend solutions, and follow them through to completion. This role is perfect for someone who: * Notices details that others miss * Enjoys organizing information * Likes solving problems * Takes pride in producing accurate work * Enjoys building systems instead of simply completing tasks * Is naturally curious and always looking for better ways of doing things * Works well independently without constant supervision --- # Required Qualifications * Excellent written and spoken English * Previous bookkeeping or accounting experience * Experience with Accounts Payable and Accounts Receivable * Strong Google Sheets and Microsoft Excel skills * Experience reviewing invoices and financial transactions * Strong analytical and problem-solving skills * Exceptional attention to detail * Excellent organizational and time management skills * Ability to prioritize work independently * Comfortable learning new software quickly * Professional written communication skills * Experience working remotely * Ability to handle confidential financial information with discretion --- # Preferred Qualifications * QuickBooks experience * Property management or short-term rental experience * Airbnb or hospitality experience * Topkey experience (or willingness to learn) * Experience improving business processes or creating SOPs * Experience implementing workflow improvements or automations * Familiarity with AI tools such as ChatGPT or Claude * Experience with Notion, Slack, Zapier, or similar productivity tools * Accounting or Finance degree (preferred but not required) * Experience working with U.S.-based companies --- # Growth Opportunity This role is expected to begin as a **part-time position (approximately 20 hours per week).** As Solano Stays continues to grow, we expect this position to expand into a full-time Financial Operations Manager role with increasing responsibility and leadership opportunities.
